Executive Administrative & Project Support Specialist

About the Role : We are looking for a highly organized and proactive Executive Administrative & Project Support Specialist to provide professional support to senior leadership, including the CFO, CIO, and VP / Director of Marketing & Business Intelligence. This role is critical in ensuring smooth coordination across Finance, Information Technology, and Marketing divisions, supporting strategic initiatives, and managing complex administrative and project tasks.
What You'll Do :
- Executive Support : Manage and prioritize complex calendars, schedule meetings, and prepare briefing materials for senior leadership and Board presentations.
- Budget & Reporting : Track divisional budgets, prepare variance reports, and assist with financial schedules and compliance documentation.
- Project Coordination : Support strategic planning sessions, IT governance meetings, and marketing initiatives. Prepare reports, dashboards, and presentations for key stakeholders.
- Communication & Liaison : Act as a trusted point of contact between executives, staff, vendors, and external partners. Handle confidential information with discretion.
- Travel & Logistics : Coordinate travel arrangements, expense reports, and event scheduling for senior leadership.
What We're Looking For :
Associate degree or equivalent experience.5+ years supporting senior executives in a fast-paced environment.Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat.Experience managing budgets, preparing executive-level presentations, and coordinating high-level meetings.Excellent communication, organizational, and problem-solving skills.Ability to manage multiple priorities and meet deadlines independently.Preferred Skills :
Familiarity with project management tools (SharePoint, OnBoard, PlanView).Knowledge of financial systems and reporting.Why Join Us? Job Type & Location : This is a Contract to Hire position based out of Laurel, MD.
Pay and Benefits : The pay range for this position is $30.00 - $40.00 / hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
