Duties And Responsibilities :
- Maintain and input all organizational volunteer, donor, and marketing data to ensure information is accurate and quality database records are sustained.
- Integrate all data sources and ensure data can be utilized to maximize productivity and effectiveness.
- Responsible for administrative functions related to donor and volunteer communications, internal tracking processes, and reconciliation of data.
- Assist with the logistics and implementation of the Collaborative Operating Model (COM) in partnership with HFHI.
- Research donors and companies identifying potential new opportunities and updating information on current or past donors, volunteers, and companies.
- Reconcile month-end donations and provide reports to Director of Resource Development and Communications and Executive Director.
- Create and maintain office systems to support all fundraising and volunteer projects and operations.
- Process donations, generate donor acknowledgment letters and other correspondence as required.
- Generate monthly reports that reflect donor and volunteer benchmarks in alignment with departmental goals.
- Develop digital and print material to deliver the organization's messages to the public and media through various forms of social media, websites, e-newsletters, print materials, and other methods as appropriate.
- Coordinate with the Executive Director and Director of Resource Development and Communications the design and coordination of local messaging opportunities.
- Capture content and develop communication materials to recognize sponsors, corporations, community groups, individuals, and volunteers that support our construction site, A Brush With Kindness renovation projects, ReStore, conventions, special events, booths and fairs.
- Execute all social media strategies and activities to advance donor cultivation, relations, engagement, and solicitation on Facebook, Instagram, Twitter, LinkedIn, YouTube, TikTok, and other relevant platforms.
- Maintain HFHLV website with up-to-date information.
- Assemble media and donor kits for events and meetings.
- Create and maintain required office systems to support marketing projects and operations.
- Handle all administrative details associated with special events (i.e. maintain guest lists, gather and prepare registration materials, email blasts, assist in the design of all marketing and media materials including ads and press releases, update community event calendars, etc.).
- Act as key support staff to Director of Resource Development and Communications and Executive Director to identify potential donor segments and assist with tasks related to donor acquisition and retention.
- Execute administrative tasks and help coordinate all volunteer activities, including recruitment, orientation, support, recognition, and deployment of volunteers to ensure all opportunities and events are staffed as needed.
- Interact, in a professional timely manner, by telephone, email, and in person with volunteers and donors.
- Assist with the processing of in-kind donations.
- Coordinate annual volunteer appreciation events.
- Represent Habitat at community meetings, support groups meetings, board meetings, and special event meetings as needed.
- Respond to telephone and email requests for information.
- Prepare and mail packets of information for volunteers and donors as needed.
- Assist special projects as requested.
- Other duties by the Director of Resource Development and Communications or Executive Director.
Education, Knowledge, And Skills :
High School Degree required; Associates Degree preferred. Minimum of 2 years relevant experience required. Experience in working in the non-profit sector is highly desirable. Advanced knowledge of Microsoft Office Suite (Word, Excel, Power Point, Publisher). Excellent written, verbal, and interpersonal communication skills. Strong customer service and relationship building skills. Experience with database management. Experience with CRM and Email Marketing databases a plus. (Razors Edge, Donor Perfect, Constant Contact or other).
