Intake Coordinator
The Intake Coordinator is responsible for overseeing and facilitating the entire intake process for new clients across all programs at New Beginnings. This includes initial screenings, collecting required documentation, performing urinalysis, coordinating with internal departments, and ensuring that each client is properly placed in the appropriate level of care and therapy group. The Intake Coordinator plays a key role in client engagement, treatment onboarding, and communication between clinical, housing, and administrative teams.
Essential Duties and Responsibilities
Client Intake Coordination
- Facilitate client intakes on designated days .
- Assist clients in completing all intake paperwork and obtaining necessary documentation.
- Follow up on intakes completed by other staff on non-intake days
- Assess clients to determine the appropriate level of care using the provided screening tools.
- Provide clients with orientation information and a program handbook.
Urinalysis (UA) Administration
Conduct UAs using either instant cup tests or lab-submitted samples.Process and submit lab UAs using designated software systems.Upload and report UA results in client records and notify appropriate team members of any positive results.Client Referral and Coordination
Refer clients to appropriate mental health providers, psychiatrists, and medical evaluators.Coordinate with housing and counseling staff for proper placement based on level of care and functionality.Submit documentation and consents to external providers in a timely and confidential manner.System and Documentation Management
Enter all client information into the ICAN and Carelon systems.Upload all required intake documents into shared drives and internal databases.Maintain accurate electronic and paper files for all client intakes.Complete and update monthly referral and census logs.Team Communication and Support
Email appropriate counselors, case managers, and housing coordinators with intake updates.Send introductory emails for each new client to all relevant staff.Attend and participate in internal meetings and cross-departmental coordination.
Qualifications
Required :
High School Diploma or equivalentExcellent organizational and communication skillsBasic proficiency with data entry and office software (e.g., Excel, Microsoft Office)Ability to maintain confidentiality and professionalism in client interactionsPreferred :
Associate or Bachelor’s degree in Behavioral Health, Social Work, or related fieldExperience in substance use or mental health treatment settingsFamiliarity with ICAN, Carelon, or other health record systems
