We are currently recruiting for an Administrative Assistant to support one of our Mortgage Banking teams. The Administrative Assistant will be based in our New York City headquarters. This is a fantastic opportunity for an Administrative Assistant with 5 years of prior experience looking to take their career to the next level.

Primary Duties and Responsibilities :

  • Maintain executive's schedule by proactively strategic planning and scheduling meetings, conferences, and travel.
  • Ensure timely preparation and processing of expense reports and invoices through Concur for various team members.
  • Review expenses submitted to the Executive for approval and highlight any out-of-policy spend.
  • Proactively assist the Executive with any necessary meeting preparation and when requested, join meetings to take notes and follow up with responsible parties to ensure tasks are completed as agreed upon.
  • Manage logistics of meeting administration (in-person, Microsoft Teams).
  • Compose and prepare correspondence, slide decks, presentations, meeting materials, etc for the Executive.
  • Contributes to the Greystone team effort by accomplishing related results as needed.
  • Complete additional tasks and special projects as needed.
  • Maintains the highest level of confidence and protects operations by keeping information confidential.

Experience, Skills, and Abilities Required :

  • Minimum of 3 years of experience as an Assistant.
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
  • Technology forward approach and skill base.
  • Excellent verbal and written communication skills.
  • Superior time management skills with the ability to multitask while prioritizing tasks to meet deadlines.
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
  • Superior judgement, professionalism, poise, and ability to maintain the highest level of confidentiality and assertiveness.
  • Exceptional interpersonal skills.

    Greystone offers a competitive base salary and bonus. The base salary range for this position is $72,000 to $92,000 / year. The specific compensation that will be offered is based on an understanding of the hired candidates' qualifications at the time of hire. Employees are eligible for a discretionary bonus based on employee work performance reviewed during the annual review process.
