Booking Desk Supervisor

JAS is an international, non-asset-based supply chain services and solutions company. Our services include air and ocean freight forwarding, contract logistics, customs brokerage, distribution, inbound logistics, truckload brokerage and other supply chain management services, including consulting, the coordination of purchase orders and customized management services.

The Booking Desk Supervisor oversees daily operations of the branch air export booking desk, ensuring exceptional customer service, operational quality, and cost efficiency. This position leads a small team responsible for booking accuracy, carrier rate management, and process compliance, while maintaining strong communication with airlines, vendors, and internal stakeholders. This role is heavily involved in Pharma and Healthcare airfreight, but not limited to Freight of All Kinds (FAK). The Supervisor plays a key role in optimizing workflows, resolving service issues, and supporting the overall success of the branch's air export operations.

Essential Functions

  • Oversee all air export bookings, including direct AWBs and related communication services.
  • Ensure branch expectations are met and exceeded through high-quality customer service and operational performance.
  • Optimize transaction and operational processes to minimize costs and improve efficiency.
  • Build and maintain strong airline relationships through regular contact with carrier sales and service representatives.
  • Negotiate carrier rates and service parameters for local booking desk activities.
  • Implement and maintain corporate procedures for booking, customer service, and operations.
  • Resolve operational, accounting, and personnel issues in a timely and effective manner.
  • Ensure compliance with company work instructions and operational standards.
  • Investigate and document carrier service failures.
  • Verify that all export files contain required documents in proper sequence and that all DAWBs are accurately rated.
  • Obtain and record spot codes for special negotiated carrier rates in CargoWise (C1).
  • Track AWBs, provide "Cargo on Board" updates to relevant departments, and research all carrier discrepancies (CCA, weight, or rate).
  • Perform other related duties as assigned.

Supervisory Responsibilities

  • Manage, coach, and develop booking desk staff to ensure high performance and growth.
  • Conduct regular performance evaluations and recommend hiring, promotions, or disciplinary actions as appropriate.
  • Address and resolve personnel issues in alignment with company policies.
  • Foster a collaborative, team-oriented environment focused on continuous improvement.
  • Qualifications

  • Minimum 2 years of progressive experience in air export operations.
  • Experience in handling Pharma / Healthcare Air Freight experience is preferred.
  • Experienced handling bookings directly with airlines.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Effective written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Self-motivated, dependable, and able to work independently or in a team setting.
  • Strong problem-solving and decision-making abilities.
  • Customer serviceoriented with a positive and flexible attitude.
  • Ability to meet deadlines and prioritize multiple assignments.
  • Education and Experience

  • High school diploma or GED required; associate degree preferred.
  • Minimum 2 years in air export operations.
  • Experience in handling Pharma / Healthcare Air Freight experience is preferred.
  • Demonstrated experience managing airline relationships and negotiating carrier rates.
  • Solid understanding of IATA regulations, export documentation, and cargo routing procedures.
  • Hands-on experience using CargoWise (C1) or similar freight management systems for bookings, rating, and tracking.
  • Knowledge of carrier tariffs, spot rate processes, and AWB rating requirements.
  • Familiarity with financial and operational metrics to drive performance, accuracy, and cost control.
  • Prior supervisory or team lead experience strongly preferred.
  • Environment

    100% performed in climate-controlled internal office environment working under normal office conditions. Travel will be (up to 10%) required in support of the position's responsibilities.

While performing the duties of this job, the employee frequently is required to stoop, kneel, and crouch; lift weight or exert a force up to a maximum of 25 pounds.

    In accordance with Illinois state law, we are committed to providing pay transparency to all job applicants. For this position, the annual pay range is $70,000 - $80,000, depending on qualifications and experience. This range represents the full compensation potential for this role, and the specific compensation offered to the selected candidate will be based on factors such as skills, experience, and other relevant qualifications.

    JAS Forwarding offers a comprehensive benefits package, including dental, vision, and health insurance, 401(k), bonuses (depending on role) etc.
