Job description

Office Administrator for this importer / wholesaler in the Irvine Spectrum. The Ideal Candidate will be self-motivated and be a good communicator, with strong attention to detail and a passion for organizing. This is an ON-SITE position.

Temporary to Hire OR Direct Hire consideration : Pay rate range $23-26 / hr, depending on experience. Will consider Full-Time 8 : 30 AM - 5 : 00 PM, with 1 / 2 hour lunch, M-F OR Part-time at Three (3) days a week, 8 hours each day (24 hours / week total) working on Monday, Wednesday, and Friday. Benefits include 401(k) Matching, Employee Discount, and Bonus.

NOTE : Must possess a strong numbers sense. In this job role, will need to revise the invoice into a commercial invoice for import, which will require critical thinking to make the numbers / math work.

Essential Responsibilities will include but are not limited to :

Responsible for overseeing the day-to-day operations of the office, managing administrative tasks, and providing support to staff members. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to multitask effectively.

Process incoming orders

Process purchase orders, sales orders and invoices

Prepare shipments for shipping carrier

Prepare importing documents

Manage office supplies inventory and place orders, as needed

Handle incoming and outgoing mail, emails, and phone calls

Assist with training development and implementation

Maintain and update files, records, and databases

Qualifications :

Min 2 years of proven experience in office administration or a related field

Basic verbal understanding of Mandarin is needed (do not need to have bilingual skills)

Strong organizational skills with the ability to prioritize tasks effectively

Excellent written and verbal communication skills

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

Knowledge of medical office management is a plus

Ability to handle confidential information with discretion

Demonstrated ability to work independently and as part of a team

Strong problem-solving skills and attention to detail

Experience and efficiency with QuickBooks is a plus

Compensation / Pay Rate (Up to) : $23.00 - $26.00 Per Hour
