This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate's qualifications and experience, as well as internal equity and other internal factors. Job Description Summary
The Administrative Assistant, Office of the Senior Vice President for Student Affairs and Dean of Students, performs a variety of routine and complex administrative duties that require a range of skills and knowledge of University policies and procedures. The Administrative Assistant assists the Assistant Dean of Students with the administration of the student conduct process and conduct related clearances. The Administrative Assistant reviews University processes and procedures with students and parents and completes special projects and presentations as assigned.
Responsibilities
Assist the Assistant Dean of Students with the Student Conduct Process and Educational Initiatives :
- Assist with background checks, study abroad clearances, student internship programs, transfer applications, and job applications.
- Issue reports and schedule hearings.
- Assist students and parents regarding University processes and procedures including late withdrawals and academic issues. Provide referrals when appropriate. Maintain high level of confidentiality and support.
- Assist students and parents regarding the Healthy Panther Initiative and requirements for attendance and sanction completion.
- Maintain records and run reports in the conduct management database.
Perform varied administrative duties :
Assists Student Affairs staff with materials and correspondence for investigations.Create, edit, and proofread correspondence for the Assistant Dean of Students and other Dean of Students Office staff as requested; assists with other correspondence by typing, proofreading, and editing as needed.Answer and route phone calls for the SVP / DOS Office. Greet campus personnel and visitors, providing information or assistance. Serve as a liaison with other campus departments.Manage the calendars for the Assistant Dean of Students, Program Coordinators for Student Conduct and other DOS staff as requested.Assist the Assistant Dean of Students to ensure projects, duties and responsibilities are carried out in a responsive and service-oriented manner.Complete special projects and presentations for the Assistant Dean of Students and SVP / DOS Office, including assisting with various committee meetings.Assist with Data Management
Create and maintain accurate student files and records as well as other types of administrative files for the department.Research, gather, compile, and record data when directed. Create reports or summary of background information and / or findings.Research and maintain student records in Campus Solutions, specifically regarding Dean of Students and Healthy Panther holds.Provide Clerical and Meeting Support
Order and maintain office supplies, printer, and fax supplies. Support office for photocopying and faxing needs. Maintain office equipment needs.Coordinate room, catering, and any other arrangements for committee meetings and other various events.Perform other duties as assigned.
Required Qualifications
Bachelor's degree or equivalent combination of education and experience.A minimum of two years related experience in providing administrative support to professional staff; higher education setting preferred.Ability to use tact and diplomacy and to maintain a high level of confidentiality.Strong computer skills in the use of word processing, spreadsheet, presentation, database, Internet and email software, Microsoft Office Suite applications.Technical ability to learn and use enterprise software.Excellent telephone etiquette skills, with experience directing calls and taking accurate messages. Excellent communication and interpersonal skills, with the ability to interact diplomatically with a diverse group of individuals, both inside and outside of the University.Writing and editing skills, with the ability to prepare, proofread, and edit clear, concise, and grammatically correct business correspondence and other documents.Proven ability to plan, prioritize multiple projects and complete them in a timely manner even when faced with interruptions, distractions and fluctuating workload.Experience with office set-up, filing, scheduling, and arranging for committee meeting and other various events, and assist in maintaining VC / DS calendar.Ability to perform tasks independently and as a member of a team.Experience using standard office equipment such as copier, fax and calculator.Arithmetic and calculation skills and the ability to prepare basic financial forms.Desired Qualifications
