Position Summary

This posting will close on Friday, November 21st.

Performs accounting work preparing, processing, and completing accounts payable and accounts receivable tasks along with records maintenance and preparation of routine statements or reports.

Work is performed under the supervision of the Accounting Supervisor.

Essential Duties

  • Review invoices, determine due dates, verify sales tax is computed correctly. Enter invoices into the accounts payable system and distribute for approval. Review bills where automatic pay is enabled to ensure charges are correct and approved. Investigate and resolve discrepancies.
  • Generate checks and accompanying reports for approved disbursements, distribute checks, file and scan documentation for archiving. Process exception items including bill backs and credit memos.
  • Research and answer questions regarding the status of accounts and payments, the proper coding of transactions, and other related matters.
  • Maintain vendor files, including new vendor verification, vendor credit applications, new account set-up, W-9 collection, and scanning final vendor records.
  • Prepare and file required tax forms including 1099s, sales and use tax, and petroleum tax.
  • Research and prepare annual unclaimed property reporting. Send and respond to associated correspondence and file unclaimed property forms.
  • Create and issue accounts receivable invoices per City contracts and policies and bill-back items as appropriate. Identify delinquent accounts and follow-up to acquire payment. Maintain accounts receivable files.
  • Assist with the administration of the City's employee credit card program.
  • Assist with annual audit work paper preparation related to accounts payable and accounts receivable.
  • Performs other duties as needed or assigned.

Knowledge, Skills and Abilities

  • Proficiency in Microsoft Word, Excel, Outlook and various database programs.
  • Basic knowledge of generally accepted accounting principles.
  • Strong communication skills.
  • Demonstrated ability to adapt to changing situations and work demands.
  • Demonstrated ability to learn new concepts and work tasks.
  • Knowledge of City and department operations, policies and procedures.
  • Qualifications

    Minimum Qualifications

  • Associates / Technical degree in accounting or finance-related field or equivalent combination of experience and training.
  • One to three years of experience in accounting, finance or a related field.
  • Valid driver's license.
