We are looking for an Accounts Payable Specialist to join our Accounting team and play a key role in maintaining efficient financial operations. This is a full-time position with a hybrid (4 days on-site, 1 day remote) working environment that will directly report to the Accounting Manager.
Position Overview
The Accounts Payable Specialist will be responsible for managing invoice processing, vendor payments, and expense reporting within a PE-backed corporate environment. Reporting directly to the Accounting Manager, with a dotted line to the VP of Accounting / Controller, this position offers excellent exposure across the accounting function. The ideal candidate is hands-on, detail-oriented, and comfortable working in a multi-site / high growth environment where accuracy and efficiency are essential.
Key Responsibilities
- Utilize NetSuite, Tipalti, and Ramp for all transactions related to Accounts Payable and Expense Reimbursement.
- Process a high volume of invoices accurately and efficiently for a multi-site environment, ensuring timely payment and proper coding.
- Responsible for maintaining AP aging, reconciliation of vendor statements, and driving resolution of aged items in a timely and professional manner.
- Prepare weekly payment proposals and submit approved payments on a set payment schedule.
- Assist with the month-end close by coordinating with other members of the accounting team on needed monthly analysis and accruals.
- Manage all vendor setup / maintenance within accounting systems, including management of W-9s and other vendor compliance documentation.
Manage multiple email accounts daily.
Assist in maintaining the documentation of AP processes and SOPs as systems and policies evolve.Prepare annual 1099 statements for vendors & 1096 statements for IRS.Support annual audit requests related to AP, including pulling samples and providing adequate documentation.Prepare ad-hoc reports and support management with projects, as needed.Additional duties as needed.Qualifications
Relevant experience will be considered in lieu of a degree (Bachelor's degree in Accounting or other related field preferred but not required).3-5 years accounts payables / accounting experience in a multi-site environment.Experience working with accounting / ERP software and strong Excel skills (NetSuite / Tipalti / Ramp experience preferred).Excellent attention to detail, organizational, and problem-solving skills.Ability to meet deadlines and handle multiple priorities.Strong communication skills and ability to collaborate across departments.Team player that is willing to learn new tasks.Must be capable of handling sensitive and confidential information.Physical Requirements
