AP Executive Staffing is partnered with a well-established organization in Amherst, NY, seeking an experienced Executive Assistant & Office Operations Manager to support executive leadership and oversee administrative operations. This role blends high-level executive support with people leadership and operational management responsibilities.

Position Overview

The Executive Assistant & Office Operations Manager will serve as a trusted partner to the President and Executive Team while leading a small administrative staff to ensure a seamless, efficient, and professional workplace. The ideal candidate is a confident leader with strong organizational skills, sound judgment, and the ability to anticipate needs before they arise.

Key Responsibilities

  • Provide direct executive support including calendar management, meeting coordination, travel logistics, and correspondence.
  • Lead, mentor, and develop office administrative staff; ensure high performance and accountability.
  • Oversee office operations, budgets, vendor relationships, and daily workflows.
  • Partner with internal teams to coordinate events, presentations, and communications for executive initiatives.
  • Manage documentation, record retention, and confidential information with accuracy and discretion.
  • Evaluate processes and implement operational improvements to drive efficiency and collaboration.

Qualifications

  • 5+ years of experience supporting senior leadership with at least 2+ years in a supervisory or management capacity.
  • Proven ability to lead and motivate administrative teams while maintaining a hands-on approach.
  • Advanced proficiency in Microsoft Office Suite; tech-savvy and adaptable to new systems.
  • Exceptional communication, organizational, and problem-solving skills.
  • Professional demeanor and demonstrated ability to manage sensitive information.
  • Bachelor’s degree preferred or equivalent combination of experience and education.
