We are looking for a detail-oriented Administrative Assistant to join an investment firm a contract basis in Kailua-Kona, Hawaii. This role involves providing essential support to ensure smooth office operations and excellent customer service. The ideal candidate will possess strong organizational skills and the ability to handle multiple tasks with efficiency and professionalism.
Responsibilities :
- Manage inbound calls, providing accurate information and exceptional customer service.
- Perform data entry and maintain organized filing systems to ensure easy access to records.
- Coordinate scheduling and calendar management, including appointments and meetings.
- Assist with email correspondence, drafting and responding to messages promptly.
- Handle receptionist duties by greeting visitors and addressing inquiries.
- Ensure compliance with company policies and procedures through accurate documentation.
- Prepare and distribute notices and communication materials as required.
- Utilize Microsoft Office Suite for various administrative tasks and reporting.
- Support day-to-day office functions to maintain operational efficiency.
- Collaborate with team members to address administrative needs and complete tasks.
- Minimum of 1 year of experience in an administrative role.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong communication and customer service skills, both written and verbal.
- Ability to manage multiple tasks and prioritize effectively to meet deadlines.
- Basic to intermediate computer skills, including data entry and email handling.
- Reliability and business minded in all aspects of the role.
- Excellent organizational skills with attention to detail.
- Familiarity with scheduling and calendar management processes.
