POSITION OBJECTIVE
The mission of the Payroll Specialist is to ensure high-quality and accurate payroll services to applicable Epiroc business units, while maintaining a high level of customer satisfaction for all services rendered.
PRINCIPAL RESPONSIBILITIES
- Ensure timely payment of employees on a weekly, biweekly, or monthly basis.
- Serve as the first point of contact for payroll-related inquiries from employees.
- Process payroll for multiple FIEs across 32 states, including tax compliance.
- Manage payroll for a headcount of over 1000 employees.
- Maintain accurate payroll records.
- Handle union dues and monthly submissions.
- Manage payroll for Expat & Local Plus employees, including shadow payroll.
- Process auto, housing, and relocation benefits.
- Manage on-call payroll, shift differentials, work schedules, and rotations.
- Support VOEs and Workers Compensation documentation.
- Assist Business Controllers with General Ledger activities related to payroll.
- Coordinate efforts between the payroll department and other internal departments.
- Maintain employee profiles, including updates on employment status.
- Ensure compliance with local, state, and federal laws and regulations.
- Keep payroll software updated for accurate processing.
- Apply accounting standards to financial matters.
- Ensure timely filing of tax and voluntary deduction reports.
- Update and maintain payroll procedures.
- Prepare and submit weekly, biweekly, monthly, and year-end payroll reports.
- Coordinate payroll report submissions to business controllers.
- Perform additional accounting tasks as assigned.
- Set up third-party payroll vendors in the system.
- Reconcile earnings with W2 statements.
- Maintain the Service Portal and current Payroll SOPs.
PERSONAL CHARACTERISTICS
Proficient in Microsoft Word and Excel.Ability to handle confidential information discreetly.Strong organizational and attention to detail skills.Ability to work under pressure and meet deadlines.Excellent problem-solving and time management skills.Solid knowledge of payroll processes.Experience with timekeeping systems is a plus.Strong accounting and math skills.Ability to work collaboratively with teams and external auditors.Excellent administrative skills.EDUCATION & EXPERIENCE
Preferably hold a payroll certification such as USA CPP or FPC in Canada CPM.Experience with payroll in the USA and Canada.Experience with Dayforce, ADP, and UKG systems.Minimum of 7 years of experience in Payroll Administration.ABOUT EPIROR
