Primary Position Responsibilities
Answer phones, process mail, manage the office supply inventory, and handle general office tasks to maintain efficiency.
Perform errands including daily trips to the post office and retrieving building permits as needed.
Welcome visitors, provide information to clients, and serve as a point of contact for inquiries.
Book all travel arrangements including hotels and flights.
Assist in coordinating, setting up, and running company events.
Assist in collecting lien waivers as needed.
Prepare and process lien releases.
Assist with ensuring compliance with contract terms and insurance / bonding requirements.
Assist with submitting required safety certifications, insurance certifications, permits, and licenses.
Assist upper management with a variety of projects.
Perform other duties as assigned.
Required Qualifications
Proficient in Microsoft 365, with advanced Excel skills, Adobe, and ERP systems.
Excellent verbal and written communication skills to interact effectively with clients, vendors, and team members.
Prior experience screening phone calls for owner / upper management.
Strong ability to manage multiple tasks, maintain attention to detail, and stay organized in a fast-paced environment.
Excellent customer service and interpersonal skills for building professional relationships.
Ability to maintain confidentiality.
An understanding of construction terminology, procedures, and compliance requirements.
Must have reliable transportation.
Must be able to work on-site, five days per week.
Work Environment & Physical Demands
Candidates will need to be comfortable interacting and engaging with staff as needed in construction related, job site, warehouse or shop environment.
Most of the work is performed in an office environment.
Typically, the employee may sit to perform the duties of the job and will perform repetitive motions with hands / fingers using a computer mouse and keyboard to type. However, there may be walking; standing; bending; stooping and carrying light items up to 20 pounds.
Limited climbing, crawling, pulling, and pushing is required (e.g., inventory).
Employee will be required to travel by car.
