Job description

RemX is looking for a versatile and dependable Office Manager / Bookkeeper to join a local organization located in downtown Buffalo, NY.

In this position, you will keep the operations running smoothly. This role is ideal for someone who is equally comfortable balancing books as they are juggling office logistics. You'll oversee day-to-day financial tasks, ensure our administrative processes run efficiently, and help maintain our digital presence.

Location : downtown Buffalo- parking provided

Hours : Day shift, 8 : 30-4 : 30 Monday-Friday (37.5 hour work week)

Duration : Temporary to hire

Responsibilities :

  • Manage accounts payable and receivable using QuickBooks Online
  • Generate and send client invoices, apply payments, and maintain accurate records
  • Perform monthly reconciliations for bank accounts, credit cards, and online transactions
  • Oversee payroll processing and ensure accurate general ledger entries
  • Maintain up-to-date financial data for active projects and contracts
  • Review financial reports regularly for accuracy and completeness
  • Serve as the first point of contact for incoming calls and general inquiries
  • Keep the office calendar updated with meetings, events, and deadlines
  • Maintain office inventory and manage supply ordering
  • Assist in preparing documents, reports, and materials for meetings
  • Organize physical and digital files, and handle mail and correspondence
  • Support large mailings and document prep using tools like Microsoft Word
  • Assist with basic updates to company websites using HTML or WordPress
  • Fulfill online orders and maintain order tracking systems
  • Update and manage content for social media platforms and email newsletters
  • Help coordinate responses to proposals, RFQs, and RFPs by maintaining templates and documentation

Qualifications :

  • Associates degree is accounting or similar
  • Strong knowledge of QuickBooks Online and proficiency with Microsoft Office (Word, Excel, Outlook)
  • Well-organized and comfortable managing multiple projects simultaneously
  • Excellent communication skills and attention to detail
  • Self-motivated and flexible with the ability to adapt to changing priorities
  • Prior experience in a small office setting preferred
  • Experience with basic website or email marketing platforms is a plus
