About the Opportunity :

The Data Science Institute (DSI) is a campus hub for research and education in the emerging field of data science. DSI currently includes two interdisciplinary research centers, the Center for Computational Molecular Biology (CCMB) and the Center for Technological Responsibility (CNTR).

CNTR's mission is to redefine computer science education, research, and technology to center the needs, problems, and aspirations of all those that technology has left behind.

Responsibilities :

The Center for Technological Responsibility, Re-imagination, and Redesign (CNTR) guides the way on how to build technology that works-for all-by ensuring a focus not on what we build, but on the people we are building for.

The Administrative Coordinator position requires a dynamic and highly organized person to provide comprehensive administrative support to the CNTR Director. In this fast-paced and collaborative environment, they will be the central point of contact, ensuring seamless communication between the CNTR Director, academic collaborators, university leadership, and external partners. Their role is essential for managing the CNTR Director's demanding schedule, coordinating events, and maintaining organizational processes. The ideal candidate has experience as an executive assistant to a high-profile executive. They are proactive, detail-oriented, and capable of handling a wide range of responsibilities-from calendar management and travel arrangements to assisting with special projects and event coordination. This is a unique opportunity to play a vital role in an organization that is shaping the future of responsible technology.

Responsibilities include :

  • Manage Director's schedule and communications : Maintain a complex digital calendar, including meetings, appointments, and events, across multiple global time zones. Review, triage, and process all incoming correspondence, exercising discretion to route communications and draft responses.
  • Prepare for Meetings : Prepare agendas, setup calendar invites, reserve rooms as needed, and gather all necessary briefing materials to ensure they are fully organized for all engagements. Take notes or minutes as appropriate.
  • Strategic Administrative Support : Act as a point of contact for internal and external committees, creating and coordinating materials. Triage requests for funding, purchasing, and faculty appointments, and anticipate the Dean's needs by drafting executive summaries or reports to aid in decision-making.

This is a term-limited position with potential for renewal pending university funding and need. The current end date for this position is 08 / 30 / 2027.

Qualifications :

Education and Experience :

  • Required : Associates degree plus at least three years of executive assistant experience, or equivalent combination of skills and experience
  • Preferred : An interest or background in responsible technology, computer science, data science, or other related fields.
  • Job Competencies

  • Proactive, confident, self-starter, capable of stepping into the role and navigating ambiguity.
  • Ability to manage and balance competing priorities of the Executive's schedule
  • Excellent communication skills, both verbal and written and the ability to work effectively with diverse populations
  • Exceptional attention to detail, proactive nature, ability to multi-task and work well both independently and as a member of a team
  • Professional demeanor with the ability to project a positive image and represent the CNTR Director
  • Excellent computer skills transferable across platforms.
  • Excellent organizational and creative problem-solving skills
