Job Description

The Employee Relations Hotline Manager  is responsible for administering the company's confidential process to help employees resolve ethics and compliance questions and concerns.  The ER Hotline Manager will manage Public Storage’s compliance hotline through which individuals report conduct that may be unethical, illegal, in violation of the Company’s Business Conduct Standards, or otherwise inconsistent with the Company’s policies and practices.  The ER Hotline Manager will also manage the relationship with the third-party vendor that operates the hotline and supports the web application.  This position serves as a trusted adviser and critical partner to coach employees, HR partners and leaders on various employee relations matters related, but not limited to, conflict resolution, policy compliance and risk mitigation. The ER Hotline Manager will conduct high-volume investigations into reported employee situations related to interpersonal relationships, performance management, and compliance while demonstrating a solid understanding of Public Storage’s policy, culture and core values to resolve issues and support vital course of action to drive positive outcomes. As a subject matter expert, the ER Hotline Manager will collaborate with the Employee Relations Director to identify risks and gaps, create, audit, and sustain positive workplace programs; and design and conduct positive employee relations training that drives best practices. This role will provide advice and counsel to HR and leaders to ensure fair and consistent resolutions to employee relations issues and disciplinary actions.

KEY RESPONSIBILITIES

  • Manage EthicsPoint compliance hotline, including initial review of cases, categorization of matters and assignment of cases to investigative partners based on workload and complexity while monitoring progress to ensure timely response and thorough documentation of all matters
  • Collaborate with third-party vendor to assure compliance hotline website remains accessible, up to date and supportive in driving reporting behavior
  • Implement and maintain measures designed to maintain confidentiality, protect anonymity and eliminate fear of retaliation while driving programs to foster constructive employee relations and ensure the organization’s approach is fair, respectful and consistent
  • Review and investigate reported concerns, document findings, and debrief key partners
  • Advise relevant HR / management of investigative findings and recommended potential corrective actions based on company policy, past practice and positive employee relations
  • Maintain a follow-up system to ensure that appropriate, corrective actions are taken; and when necessary, communicating investigation results to employees who reported concerns
  • Collect and report facts and data concerning contacts to the compliance hotline for the production of meaningful statistical reports to be used in the facilitation of consistent responses, recommendations for company policy and process and development of positive employee relations training and engagement programs
  • Support the development and delivery of training designed to educate HR partners and management on employee relations topics including case trends, compliance requirements and risk factors within Public Storage
  • Collaborate with internal labor and employment counsel on investigative and other matters to identify potential risk while ensuring compliance and risk mitigation
  • Other duties as assigned

Qualifications

  • A minimum of 5 years of experience effectively managing employment investigations, human resources and / or employee and labor relations
  • Solid working knowledge of the principles and practices of employee and labor relations
  • In-depth knowledge and application of federal, state and local labor and employment law and regulations
  • Experience leading multiple, concurrent, high-priority employee investigations at all levels of the organization with a focus on timely and consistent execution
  • Experience using and maintaining an employee relations or ethics case management system
  • Experience analyzing data and developing metrics and graphics to track activity and report trends
  • Experience analyzing issues, providing information / direction, and effectively expressing ideas, advice and solutions, both verbally and in writing
  • Must be detail-oriented with demonstrated ability to manage difficult situations with tact and diplomacy
  • Knowledge, Skills and Abilities

  • Excellent interpersonal skills, ability to build trust, maximize relationships, and interact with all levels, from hourly employees to senior management
  • Trustworthy HR professional with the ability to manage and maintain a high level of confidentiality and common sense regarding sensitive employee information
  • Clear verbal and written communications skills with experience drafting investigative reports and documentation
  • Analytical skills, including the ability to develop, manage and interpret metrics
  • Ability to recognize opportunities and assess risks before they become trends
  • Strong project management skills including being highly organized, project planning, time management and prioritization with the ability to multi-task and manage competing priorities with deadlines
  • Comfortable presenting to HR partners and management as well as communicating with frontline employees
  • Ability to work independently and be part of a team
  • Proficiency in Microsoft office (Word, Excel, PowerPoint etc.)
  • Prior knowledge of Navex Global, Workday, and EthicsPoint a plus

Public Storage teammates are expected to work in the office five days each week with the option to take up to three flexible remote days per month.
