Job description

Sales Coordinator

We are looking for a Sales Coordinator to join our dynamic Group Sales Team. The Sales Coordinator provides administrative and clerical support to the Group Sales Team and General Manager. As the Sales Coordinator you will assist with incoming calls, returning voicemails, assist with contracts, room blocks, small groups, and communications with the hotel teams.

The ideal candidate will be highly organized, have strong attention to detail and sense of urgency, and interested in moving into a sales career, as this entry-level position will prepare the right candidate for future openings within the Group Sales Department.

Responsibilities include but are not limited to :

  • Answer all incoming calls to the sales office promptly and with proper telephone etiquette
  • Pre-qualify all incoming or brand / third party sales leads, then distribute to the correct salesperson
  • Welcome all clients and visitors to the sales office with a friendly and positive attitude
  • Client interaction including confirming event counts and details
  • Manage group reservations : uploading rooming lists, creating booking links, etc.
  • Assist or perform site visits when needed
  • Complete or assist with various aspects of pre-event, main event, and post-event details
  • Track, detail, and communicate with clients and hotel team members
  • Create and distribute daily, weekly, and monthly sales reports
  • Sales office management and organization
  • Support the bookkeeping office with accounting paperwork
  • Assist with communication between the sales office and hotel operations teams
  • Actively participate in all sales and revenue management meetings as needed

Previous work experience with FSPMS, MARSHA, Delphi, CI / TY, or similar hospitality programs preferred.
