Logistics Coordinator-Hourly
This position assists in the operation of a large and complex Property Management, Surplus Inventory and Fleet Management System for Louisiana State University, including but not limited to the main campus, LSU Alexandria, LSU Eunice, LSU Shreveport and LSU Ag Center locations throughout the state.
Job Responsibilities :
- 30%- Works with Asst. Director on large pickups resulting from Department moves to gain initial approval of surplus / scrap assets and to maintain accurate accountability of tagged assets. Coordinates and conducts advance visits to departments as needed to determine items for LPAA surplus or Scrap approval, and to prospect for redistributable assets before scheduling pick up dates. Manages email traffic, triages and routes according to functional area, and ensures prompt and effective communication with campus departments. Prioritizes pick ups to ensure proper customer service and surplus in a timely manner.
- 20%-Verifies Workday transfers are complete at the department level prior to pickup, and ensures all documentation to and from LPAA is complete and reflected in Recoup. Verifies all data containing devices have data sanitization sheets completed, and runs serial numbers in Workday to verify accurate removal of all tagged assets.
- 10%- Identifies creative and proactive ways to reduce idle equipment throughout LSU Campus. Receives leads from Property Management leadership regarding idle assets and makes arrangements with departments to remove and dispose as appropriate. Works closely with LPAA to streamline process for surplus pickups of idle equipment. Finds creative ways to promote surplus of idle equipment such as hosting special drop off events, or other methods.
- 10%-Works with department fleet coordinators to ensure monthly MV3 / MV4 compliance. Receives, logs, and files monthly MV3 / MV4 forms for all LSUAM fleet vehicles (approx. 700). Monitors system-wide fuel and mileage reporting into the state system and notifies management of discrepancies. Serves as a primary contact for managing access and assisting departments with using the state's GPS tracking system.
- 10%- Creates and maintains a visitor friendly warehouse environment. Promotes redistribution of surplus assets to campus departments as a cost saving alternative to the purchase of new equipment. Develops and uses multiple channels of communication in the promotion of assets available for redistribution, i.e. department website, email, newsletter, social media, etc. Ensures accurate tracking of all items maintained in warehouse for redistribution.
- 10%-Identifies assets that are appropriate for as-is / where-is online auctions. Monitors and assists department contacts with the online auction processes. Maintains accurate logs of the online auction process and ensures timely completion of online auction transfers and disposals.
- 5%-Serves as Asset Custodian for the LSU Procurement and Property Management cost centers, and Building Coordinator for River Road Annex Building.
- 5%- Additional duties as assigned
Minimum Qualifications : Bachelor's degree. High proficiency in Microsoft Excel, Power Point, Word. Excellent communication & organizational skills. Physical ability & eye-hand coordination necessary to use a computer terminal, office equipment; ability to drive a vehicle and walk moderate distances on campus and up / down stairs. Ability to bend down when removing assets from locations. Ability to lift up 35-50 pounds (occasional). Due to the nature of this position and / or position responsibilities this position shall be subject to drug / alcohol testing in accordance with University Permanent Memorandum 33 / Policy Statement 67. Maintain a valid Louisiana class E drivers license.
Preferred Qualifications : Bachelor's degree. 2-3 years experience working in logistics, supply chain, or related field is preferred; understanding of basic warehouse / inventory management principles as well as a track record providing superior customer service in a fast paced, constantly changing environment.
