Group Sales Coordinator

As the Group Sales Coordinator you will assist the Group Sales Managers and act as a key liaison between clients and resort departments ensuring that all arrangements are efficiently secured before the groups arrival.

• Support Sales Managers by coordinating the pre-conference meeting with the client and resort staff.
• Prepare and process the contract send it to the client and establish a file for office records.
• Obtain necessary signatures on the contract and distribute copies to all relevant parties.
• Coordinate billing and payment processes with the client.
• Collaborate with internal teams to manage all aspects of the groups requirements.
• Maintain tax-exempt forms and ensure copies are distributed to applicable departments if required.
• Handle and process banquet requests through the companys system.
• Receive rooming lists and input the information into the resorts systems.
• Distribute the group resume to the resort property.
• Follow up with the resort staff on the day of the groups arrival.
• Coordinate with the Food & Beverage department for banquet setups.
• Produce and file a recap report of the groups stay.
