General Statement of Duties :

The Senior Physician Clinical Coordinator is responsible for the daily management and flow of the supervising Physician's clinic practice. The Senior Physician Clinical Coordinator is the primary liaison between the Physician, patient, intercompany departments and staff, and outside service providers.

Essential Duties :

  • Exercises a high degree of initiative, judgement, discretion, and decision making to achieve practice objectives and maintain Physician standards. Responsible for the resolution of internal departmental, or patient complications. Demonstrates high level of problem-solving ability by answering all task messages and calls as issues arise. Advises and trains internal staff on appropriate solutions to common Physician or patient problems.
  • Serves as primary liaison between the Physician, patient, and intercompany departments. Responds to all patient calls. Educates patients on expectations with procedures. Coordinates with patients on needs for additional testing, post-injection follow-up appointments, or medication refills.
  • Coordinates all clinic, injection, and personal appointments. Follows patient's course of treatments to ensure all follow-up orders are complete. Ensures appointments with supervising Physician are scheduled after all appropriate imaging and testing is complete in preparation for appointments or injections. Coordinates with internal departments and answers any questions regarding patient's care plan.
  • Responsible for all pre and post-appointment follow-up from daily clinic volume. Sends all orders for additional testing and shares follow-up results with supervising Physician. Completes all post-appointment orders and follow-ups, including but not limited to; patient status reports, therapy orders, imaging studies, labs, work status, DME orders, injections, and reviews latest patient dictation and records.
  • Promotes and provides marketing support of Physician services to outside providers and patients. Reviews all new patient referrals to ensure appropriateness of Physician specialty. Expedites patient scheduling and resolves all coordination hurdles so patient is seen promptly.
  • Performs and assists with minor in-office procedures such as trigger point and joint injections and with in-clinic tests such as NCS-EMG.
  • Prepares all injection and pre-appointment paperwork for supervising Physician. Establishes all Peer to Peer reviews for authorizations as needed.
  • Advises corporate Clinic Services staff on arising issues to ensure an efficient workflow. Provides additional training to corporate employees specific to the supervising Physician's standards for their practice.
  • Corrects discrepancies in dictations when requested by charge poster. Monitors and advises on delinquent office dictations.

Requirements :

  • Specialty training beyond high school required; Associate's Degree in related field preferred
  • 15+ years of related experience required
  • Certification from the American Association of Medical Assistant or equivalent certification required. LPN or RN education from a nationally accredited program and Indiana license preferred.
  • Medical Office Manager, Practice Manager, or other applicable certification preferred
