Back Office Specialist

We are looking for a Back Office Specialist to join our team in Milan to ensure smooth and efficient wholesale order management .

This role reports to the Commercial Director and works in close collaboration with the Finance, Logistics, and Product teams.

As the key operational support for the wholesale channel , you will be responsible for managing the full lifecycle of wholesale orders , maintaining accurate customer records, and ensuring timely delivery and invoicing. You will also have the opportunity to support sales campaigns and contribute to more strategic activities , including sales data analysis and inventory management.

What you'll do :

Manage order entry, customer master data, and order follow-up across wholesale accounts.

Handle the creation and dispatch of outbound delivery notes (DDTs) for the central warehouse.

Prepare packing lists in compliance with customer-specific requirements.

Draft proforma invoices and verify issued invoices for accuracy and completeness.

Support the sales team during campaign periods, helping to coordinate appointments and follow-up with clients.

Oversee wholesale reorders and contribute to the stock management process.

Analyze sales data to monitor performance and support strategic decision-making.

What we're looking for :

3+ years of experience in a similar back-office or sales operations role, preferably in fashion, retail, or wholesale environments.

Strong organizational and time management skills with great attention to detail.

Proficiency in Excel; experience with ERP systems and order management platforms is a plus.

Collaborative mindset and ability to communicate effectively with multiple teams.

Proactive attitude and problem-solving approach in a dynamic and fast-paced environment.

Fluency in both Italian and English is mandatory.
