Responsibilities

Event Coordination & Execution

  • Serve as the primary on-site contact for events, overseeing all event logistics from setup through breakdown.
  • Ensure seamless coordination between departments to deliver a unified guest experience.
  • Manage the execution of Banquet Event Orders (BEOs) and ensure specifications are followed precisely.
  • Be visibly present during events and actively engage with clients and attendees.
  • Guest & Client Relations

  • Greet clients upon arrival and maintain communication throughout the event.
  • Respond promptly and professionally to client needs and feedback.
  • Conduct post-event follow-up and collect feedback to inform continuous improvement.
  • Support event billing accuracy and review final invoices with clients.
  • Communication & Team Collaboration

  • Liaise between the sales team, operational departments, and clients to ensure clarity and alignment on all events details.
  • Conduct or participate in pre-event meetings, site visits, and internal operational briefings.
  • Participate in sales-related activities as needed, including occasional support with property tours and proposals.
  • Share client and team feedback to improve event delivery processes.
  • Service & Standards

  • Uphold Olympia’s values by modeling a positive, proactive, and service-driven approach.
  • Identify and address operational challenges, recommending solutions as needed.
  • Promote continuous improvement by integrating feedback and best practices into future events.
  • Support upselling efforts and assist with forecasting when appropriate.
  • Required Skills and Abilities

  • Exceptional customer service and interpersonal communication skills
  • Ability to multi-task, problem-solve, and stay calm under pressure
  • Detail-oriented with strong organizational and time management abilities
  • Comfortable with a highly physical and active role—on feet for extended periods, moving event materials, etc.
  • Familiarity with event operations, F&B standards, and hospitality systems preferred (e.g., FOSSE, Micros, Marriott Systems)
  • Physical Demands

  • Work is performed in a hotel environment; this position requires extended periods of walking, standing, bending, and lifting up to 50 pounds.  Frequent computer keying using both hands, and viewing material on a computer screen.  Working at a desk, viewing spreadsheets and other written material.  (PDC is physically demanding, requiring extended periods of walking and standing.) Flexible work hours may require an occasional night or weekend.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
