Job Summary

We are seeking a proactive Customer Service Representative / Office Administrator to join our West Chicago, IL branch. The ideal candidate will serve as the first point of contact for customers while managing the daily administrative operations of the branch, focusing on delivering exceptional customer service and ensuring the office functions efficiently and effectively.

Responsibilities

  • Customer Service

Serves as the primary contact for customer inquiries via phone, email, and in person.

Provide accurate information on products, services, and policies, ensuring customer satisfaction.

Process orders, returns, and exchanges promptly and efficiently.

Resolve customer concerns or escalate them to the Branch Manager when necessary.

Maintain and update the customer database to ensure accurate records.

Identify customer needs and offer appropriate solutions or services to support sales efforts.

  • Office Administration
  • Oversee daily branch administration, including scheduling, correspondence, and accurate record-keeping (e.g., timecards, compliance records).

    Support the Branch Manager in warehouse operations, ensuring efficient order processing and receiving.

    Manage office supplies, equipment, and vendor services for operational efficiency.

    Assist in implementing company policies and procedures while guiding team members on administrative tasks.

    Facilitate communication between the branch and other departments for seamless workflow.

    Qualifications

    Bachelor's or higher degree in Business Administration, Business Analysis, Communications, or a related field.

    1-3 years of experience in customer service, office administration, or a related role.

    Bilingual in English (proficient in writing and speaking) and Mandarin Chinese preferred.

    Experience using ERP systems or CRM software (preferred but not required).

    Ability to write clear and concise business correspondence.

    Strong interpersonal and communication skills to handle customer interactions professionally.

    Strong organizational skills with attention to detail and accuracy.

    Ability to multi-task and prioritize workload in a fast-paced environment.
