A highly respected Boston law firm is seeking two Legal Administrative Assistants to support attorneys in its Intellectual Property (IP) and Litigation departments. These roles are perfect for resourceful, proactive professionals who excel in fast-paced legal environments and enjoy working both independently and collaboratively.
Key Responsibilities
Responsibilities vary by department assignment and may include :
- Provide comprehensive legal and administrative support to attorneys.
- Manage complex calendars, track deadlines, and schedule meetings and court appearances.
- Prepare, proofread, and file legal documents, including USPTO filings (IP role) or ECF filings (Litigation role).
- Coordinate client billing, process reimbursements, and submit invoices.
- Organize, maintain, and update case files and electronic databases.
- Support attorneys with preparation for hearings, trials, depositions, and information disclosures.
- Communicate professionally with clients, court officials, vendors, and internal departments.
- Monitor docket or case deadlines and ensure timely follow-up.
- Assist with matter intake and document transfers as needed.
Qualifications
BA / BS degree preferred, not required.IP Role : Minimum 3 years of administrative or legal assistant experience.Litigation Role : Minimum 7-10 years of litigation legal administrative experience.Technical Proficiency
Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) - requiredDocument Management Systems (e.g., iManage, FileSite)Litigation Role : PACER, CourtAlert, ECF filing systems, WestlawIP Role : Familiarity with USPTO filings and docketing systemsProficiency with Adobe Acrobat or Kofax PDF toolsExperience with timekeeping and billing software preferredCore Skills & Attributes
