The Senior Project Manager (SPM) is responsible for coordinating all project-related activities and communications to guarantee a successful project implementation and execution. This position manages the full project lifecycle—from handoff after sales through implementation and completion—ensuring quality, efficiency, and client satisfaction throughout the entire process. This includes managing all aspects of engineering, fabrication and installation on construction projects ranging from small ($10M) to enterprise ($50M) clients.
Responsibilities
Internal Transition & Kick Off
- Partner and collaborate with Finance to create the project budget, develop invoicing schedule and accurately forecast costs, ensuring adequate cash flow.
- Routinely update the budget, payment schedule, invoicing of customers and appropriate tracking of recording costs, hours, stock transfers and expenses.
- Lead the project from project kickoff (post sales handoff), ensuring all sales documentation, bid materials, and client requirements are reviewed, summarized, and shared with appropriate team members.
- Understand SSI’s contractual requirements for the project and establish responsibilities and goals for each member of the project team, internal and external to SSI.
- Ensure that both SSI and the customer are adhering to the contracted scope of work, to ensure against scope deviation.
- Document, and immediately communicate to Sales, any deviation from the scope of work that may require commercial change order discussions with the customer.
- Verify project material needs and purchase (Purchasing Department) equipment accordingly.
Build Project Plan
Develop the overall schedule for the project and drive the project team to meet, or exceed, it.Gather data from project team members for input in the schedule and dashboard - daily / weekly / monthly.Continually track, monitor and maintain the project schedule, ensuring that all milestone dates are met.Develop and update schedules utilizing MS Project & Smartsheets.Project Implementation
Tactically manage all aspects of subcontracting related to field installation.Develop detailed scope of work documents for each subcontract classification and issue. Issue “Requests for Proposal” to vendors and sub-contractors, to set expectations from suppliers.Review subcontract proposals for accuracy and completeness. Negotiate the best value price for SSI, while adhering to the established budget constraints.Work with Purchasing to issue Purchase Orders and sub-contracts, necessary to execute the project scope.Monitor and facilitate subcontractor schedules, progress and periodic reviews, to ensure schedule and scope compliance.Manage, negotiate and track all contractual change orders with subcontractors.Analyze and approve invoices from vendors and sub-contractors.Ensure scope of work has been completed to SSI’s satisfaction, before release of final payment.Work in partnership with the installation department to manage and achieve all aspects of installation schedule, including labor allocations, shipments to the site, subcontractor schedules and customer expectations.Monitor fabrication progress and proactively ensure material deliveries to the site are correct and on time.Ensure that Engineering delivers all required installation drawings and drawing updates to the field in a timely fashion.Continually coordinate with the customer to ensure that their contractual obligations are met in a timely manner, ensuring the installation plan is not delayed.Monitor field installation daily progress reports to guard against schedule slip and opportunities for pull-ahead work.Maintain an accurate “Non-Compliance” log, noting responsibility and total hours attributed to the issue.Travel to the Project site on a regular basis to evaluate progress, resolve any site issues, provide support to on-site personnel and communicate with the customer.Ongoing Communications
Be the chief conduit for communication and coordination with the customer, other teams within SSI (Estimating, Sales, Engineering, Fabrication, Field Operations, etc.) and third parties involved in the project execution (sub-contractors, material suppliers, etc.).Report project status on a regular basis to Key Stakeholders.Organize and lead project meetings with all applicable parties.Lead regular status update meetings, to ensure the team is meeting schedule.Proactive in all planning aspects, while anticipating potential risks, to allow time to overcome, mitigate and communicate changes.Post Implementation
Ensure contract closeout procedures are followed, by obtaining written acknowledgment from the customer that all deliverables have been transmitted, punch list items have been resolved and final payments have been received.Issue a closeout letter to customer reiterating that the project has been closed on an agreed date, with notice that the agreed warranty period has begun.Work with all SSI departments to resolve and satisfy any warranty claims.Schedule and lead a project review meeting, within (1) month of completion, with all department heads.Requirements
5+ years experience in Project Management and Engineering preferred, specifically in manufacturing, MHE, or constructionBachelor's or MBA degree in Engineering requiredAbility to manage a project while overseeing junior project managersWillingness to train and develop others.Mechanically inclinedCompetent in MS Project & MS OfficeFamiliarity with AutoCAD, Navisworks, InventorAbility to read and understand engineered drawings (blueprints, fabrications and semantics)Skilled in identifying, approaching, presenting and building relationships with decision makers within a complex project environment (Must be comfortable with all levels from field craft to executives)Travel : Up to 50%Benefits & Perks
