We are on the hunt for an exceptional Permanent Executive Assistant with active clearance to join our dynamic team in the Accounting and Finance industry. This is an exciting opportunity to be part of a fast-paced, challenging environment where your contribution will have a significant impact. You will be working closely with the executive team, providing high-level administrative support and managing the day-to-day operations of the office. This position requires an individual who is proactive, highly organized, and can handle sensitive information with the highest degree of integrity and confidentiality.
Responsibilities :
1. Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
2. Overseeing administrative policies within an organization and within the office; recommending changes as appropriate.
3. Create and modify documents such as invoices, reports, memos, letters, and financial statements using word processing, spreadsheet, database, and / or other presentation software such as Microsoft Office, SharePoint, or other programs.
4. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
5. Prepare reports, collect and analyze information; prepare presentations.
6. Manage and maintain budgets, financial records, and confidential documents.
7. Prepare and review operational reports and schedules to ensure accuracy and efficiency.
8. Ensure seamless communication with internal and external business partners.
9. Proofread and edit documents for accuracy and consistency.
10. Support tracking and completion of key projects and deliverables.
11. Handle sensitive and complex issues with discretion and judgement.
Qualifications :
1. Active TS / SCI clearance is mandatory.
2. Bachelor's degree in business administration, accounting, finance, or related field.
3. Minimum of 5 years of experience as an Executive Assistant or similar role in a federal environment.
4. Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
5. Experience in managing and maintaining schedules, coordinating travel, and preparing expense reports.
6. Proven experience in contract management and project tracking.
7. Exceptional communication skills and ability to interact with a diverse group of people.
8. Excellent organizational skills with high attention to detail.
9. Ability to work in a fast-paced environment, handle multiple tasks, and meet deadlines.
10. Strong problem-solving skills and the ability to make decisions under pressure.
11. Ability to handle confidential information with discretion.
12. Strong proofreading skills and an eye for accuracy.
