Accounts Receivable Specialist

Our client is seeking a detail-oriented and proactive Accounts Receivable (AR) Specialist to join their team. The AR Specialist will be responsible for managing the full accounts receivable cycle, ensuring timely collection of payments, accurate invoicing, and excellent communication with customers and internal stakeholders. Key Responsibilities

Invoicing & Billing

Prepare and send customer invoices in a timely and accurate manner.

Review contracts, purchase orders, and billing schedules to ensure proper invoicing.

Process billing adjustments, credit memos, and account updates as needed.

Collections & Customer Communication

Monitor aging reports and follow up on past-due accounts.

Communicate professionally with customers regarding outstanding balances, discrepancies, and payment arrangements.

Resolve billing issues quickly to prevent delayed payments.

Cash Application

Process and apply customer payments (checks, ACH, wire, credit card) to appropriate accounts.

Reconcile customer accounts and research unapplied or short payments.

Reporting & Analysis

Maintain accurate AR records and documentation.

Prepare weekly aging reports and collection status updates for management.

Assist with month-end close activities related to AR.

Cross-Functional Collaboration

Work closely with sales, customer service, and operations teams to resolve billing concerns.

Provide supporting documentation to auditors or management as requested.

Qualifications

2-4 years of accounts receivable, billing, or collections experience.

Strong understanding of AR processes and financial best practices.

Experience with accounting software (QuickBooks, NetSuite, SAP, Oracle, or similar).

Proficiency in Excel (pivot tables, VLOOKUPs, etc.).

Excellent communication and customer service skills.

Strong attention to detail and ability to prioritize multiple deadlines.
