The Bookkeeper / Accounts Receivable Representative is responsible for managing the accounts receivable function by contacting customers to collect on past‑due invoices, resolving payment disputes, and maintaining organized financial records for the office. Key duties include making collection calls, sending professional follow‑up emails, accurately posting customer payments, and collaborating with internal teams and external parties like insurance companies and adjusters.
This role requires strong communication, organizational skills, and proficiency with accounting software such as QuickBooks and Microsoft Office. The candidate should be energetic, flexible, and able to work independently with little or no supervision.
Responsibilities
- Contact customers via phone and email to follow up on unpaid invoices and secure past‑due payments.
- Negotiate payment plans, handle customer inquiries and disputes related to billing, and accurately process and record incoming customer payments.
- Maintain accurate and organized documentation of all collection activities, post customer payments to the general ledger, and update receivable records.
- Work closely with project managers and job file coordinators to resolve invoicing discrepancies and liaise with insurance carriers, adjusters, and other third parties to facilitate payment.
- Provide weekly updates on outstanding balances and collection goals, and support month‑end closing and financial reporting processes.
Qualifications
2‑3 years of experience in bookkeeping, collections, accounts receivable, or a related accounting role.Proficiency in QuickBooks and Microsoft Office Suite (especially Excel).Knowledge of general office management responsibilities, systems, and procedures.Excellent time management skills and ability to multitask and prioritize work effectively.Strong attention to detail and problem‑solving skills.Excellent organizational and planning skills.Exceptional written and verbal communication skills.Job Type : Full‑time
