This position is responsible for managing the schedule, communications, and events for specific members of the executive leadership team, potentially interacting with the board of directors, analysts, vendors and other senior company leadership throughout the US and Canada.
Essential Functions
Maintains an active calendar of appointments, arranges meetings, and provides schedule reminders for designated executive leaders.Has the ability to schedule and handle the logistics of board meetings, send material for review prior to the meetings, take and distribute notes as requested.Fields general queries from board members.Ensures preparation and distribution of materials are handled for scheduled meetings and events.Receives and screens phone calls, emails, mail and visitors.Make complex travel arrangements (domestic and international) and provide detailed itineraries, with ability to handle unforeseen changes rapidly and without issue.Maintains confidential files, including competitive and strategic planning information, as well as sensitive financial data and / or litigation matters.Plans, coordinates, and executes the complex logistical support for high-profile, multi-day events including negotiating venue contracts, coordinating internal resources, serving as primary event manager, and effectively resolving unforeseen complications as they may arise.Conducts research, prepares correspondence, expense reports and produces various reports from financial and / or operating systems as needed.Develops internal and external presentations and briefs.Routes and resolves information requests.Manages various projects related to executive directed initiatives.Special projects and other duties as assigned.Competencies

Bachelor's degree or higher or equivalent combination of education and experience with a minimum of ten years of prior administrative assistant experience preferred.Minimum five years experience in an executive administrative assistant level role supporting C-level officers.Valid state issued driver's license in good standing and acceptable driving record.Additional Eligibility Qualifications
Advanced knowledge of MS Office; including, but not limited to : Microsoft Word, Excel, Power Point, Access and OutlookProficient with other applications such as Canva, Ariba, SharePoint, Foxit, and Coupa.Acts with professionalism, integrity and discretion in all matters, particularly in the handling of confidential information.Excellent verbal and written communication skills.Must be a self-starter who is excited by a challenge and able to work in a fast-paced, dynamic environment.Proactive & positive attitude, professionalism, flexibility, and versatility are a must.Must work well on a deadline.Ability to handle multiple work streams simultaneously, to prioritize, and effectively ask for support if needed.Independent, extremely detail oriented, ability to pick-up on preferences, and meet deadlines.Consistently demonstrates professional level verbal and written communication skills.Possess exceptional organizational skills and a very high attention to detail.Presentation development (including files with multiple embedded documents / data sources).Able to navigate change and adapt with flexibility.Supervisory Responsibility
