Schwarz Partners has an exciting opportunity available for a Front Desk Administrator in Carmel, IN ! As our Front Desk Administrator , you will manage and maintain the front desk and security & telecommunications system, provide genuine customer service in-person with visitors, onsite associates, and over the phone directing / assisting incoming calls appropriately, and assisting our executive team with various projects. As the Front Desk Administrator, you will also manage and maintain the mail & supply room, shipments & deliveries, and assist with processing accounts payables.

ESSENTIAL JOB DUTIES :
- Answers and screens incoming calls in a timely manner and direct calls to appropriate company personnel.
- First point of contact for the office. Greets visitors in a welcoming, pleasant demeanor, directing them appropriately, and notifies company personnel of visitor arrival in a timely manner.
- Maintains employee and department directories.
- Maintains a presentable, clean, and safe reception area.
- Orders supplies and maintains proper office inventory in supply room. Maintains stock for beverage machines, coffee makers, etc.
- Clean soda machine on monthly basis (nozzles and drip tray), replace CO2, and syrups when empty.
- Sorts and distributes mail in a timely manner.
- Prepares FedEx and USPS shipments, and notifies staff of deliveries.
- Delivers outgoing mail and FedEx shipments to the first floor prior to pick up time.
- Prepares conference and training rooms for scheduled meetings.
- Manages the conference room schedules.
- Processes and reconciles bills.
- Assists with ad hoc projects as needed : Drafting communications, sorts, folds, and prepares documents for mailing, Legal and HR projects, etc.
- Miscellaneous administrative support for office personnel.
- Complies with company policies and procedures.
- Additional duties as assigned by Management.
- Regular and predictable attendance.
- File annual reports for Legal department, other misc. duties from Legal and Finance dept.
- Prepare Certified mail labels for Tax mailings.
- Plan or help plan office events, Christmas parties, etc.
- Manage distribution and renewal of all Colt, Pacer, and Indy car race tickets.
- Maintains pleasant demeanor and positive attitude.
- Willingness to take additional training as appropriate.
REQUIRED EDUCATION AND EXPERIENCE :
High School diploma or GED.Experience with Microsoft Office Suite (Excel, Word, Outlook).Excellent verbal, phone, written, and interpersonal communication skills.Ability to handle inquiries and complaints to ensure quick, equitable, and courteous resolution.Excellent planning and organizational skills, including attentiveness to items requiring follow-up.High level of initiative and the ability to work independently with minimal supervision.Ability to appropriately prioritize work assignments and work well under pressure.Ability to maintain and showcase a can do, positive, and helpful attitude.Ability to maintain and showcase professionalism.Ability to operate standard office equipment, including but not limited to computers, telephone systems, calculators, copiers, and facsimile machines.Be a team-player and able to work on their own initiatives in a dynamic and challenging environment.Maintain integrity & confidentiality.Ability to type 30 - 40 WPM.Detail-oriented.PREFERRED EDUCATION AND EXPERIENCE :
Degree from an accredited university.PREFERRED SKILLS AND ABILITIES :
