Pharmacy Coordinator – Controlled Substances & Sterile Products
Department : Pharmacy Services

Position Summary
The Pharmacy Coordinator for Controlled Substances & Sterile Products is responsible for the oversight, compliance, and operations of the hospital’s controlled substance management program and sterile product preparation services. This role ensures safe, accurate, and compliant handling of controlled medications and high-quality sterile compounding in accordance with state and federal laws, USP standards, accreditation requirements, and institutional policies. The coordinator serves as a clinical and operational expert, leading process improvement initiatives and supporting pharmacy staff through education, training, and performance oversight.
Key Responsibilities Controlled Substances (CS) Oversight
Manage and monitor all aspects of controlled substance procurement, storage, distribution, reconciliation, and waste.Ensure compliance with DEA regulations, state board requirements, and institutional policies.Conduct routine audits and discrepancy investigations; collaborate with nursing, anesthesia, security, and compliance teams to resolve concerns.Maintain and review automated dispensing cabinet (ADC) reports, diversion monitoring analytics, and transaction logs.Lead controlled substance diversion prevention initiatives, including staff education and surveillance activities.Prepare and submit required regulatory documentation (e.g., DEA 106 forms, biennial inventory).Assist with policy development, revision, and implementation related to controlled substance management.Sterile Products Oversight
Oversee daily operations of sterile compounding areas, including IV admixture services, hazardous drug compounding, parenteral nutrition, and other sterile preparations.Ensure adherence to USP, USP
, and applicable state regulatory standards.
Monitor environmental sampling, personnel competency, and engineering control performance; coordinate corrective actions when necessary.Develop and maintain standard operating procedures (SOPs) for aseptic technique, cleaning, garbing, workflow, and documentation.Support implementation and maintenance of sterile compounding technology (e.g., workflow systems, gravimetric / volumetric verification, barcode systems).Leadership & Operational Support
Serve as a subject-matter expert and resource for pharmacy technicians, pharmacists, and allied health staff.Provide training, onboarding, competency assessments, and ongoing education for sterile compounding and controlled substance handling.Participate in quality assurance and performance improvement initiatives.Collaborate with pharmacy leadership on staffing, workload optimization, and service expansion.Support readiness for accreditation surveys (e.g., Joint Commission, DNV, CMS) and regulatory inspections.Quality, Safety, and Compliance
Develop and track key performance indicators (KPIs) for controlled substances and sterile compounding services.Participate in medication safety committees, antimicrobial stewardship initiatives, and interdisciplinary operational teams.Investigate medication incidents related to controlled substances and sterile preparations; contribute to root cause analyses and corrective action plans.Ensure proper documentation, record retention, and data integrity across both program areas.Qualifications Required
Doctor of Pharmacy (PharmD) or Bachelor of Science in Pharmacy.Current, active pharmacist license (NY) in good standing.Minimum 4-5 years of hospital pharmacy experience.Demonstrated knowledge of USP sterile compounding standards and controlled substance regulations.About Medical Solutions Direct Hire
