Position Summary

We are seeking a highly organized and compassionate Practice Administrator to oversee daily operations at our fertility clinic in Dedham, Massachusetts. The Practice Administrator will play a key leadership role in managing staff, supporting compliance efforts, and ensuring operational excellence across all non-clinical functions. This individual will collaborate with the VP of Clinical Operations and clinic leadership to optimize workflows and patient experience.

Responsibilities

  • Oversee day-to-day administrative operations including scheduling, front desk, call center coordination, and facilities management.
  • Implement and maintain internal processes and SOPs to support patient flow, time-to-treatment metrics, and operational efficiency.
  • Manage relationships with HR consultants, benefits brokers, and payroll software
  • Collaborate closely with clinical, laboratory, and revenue cycle teams to ensure coordinated delivery of care.
  • Track KPIs across departments and generate regular reports for leadership review. Support hiring, onboarding, training, and scheduling administrative and non-clinical staff.
  • Ensure compliance with OSHA, HIPAA, and local Department of Public Health requirements.
  • Manage supply chain and inventory for all non-clinical consumables and office needs.
  • Coordinate vendor and maintenance service contracts.
  • Participate in leadership meetings and contribute to strategic decision-making.
  • Support emergency preparedness protocols and coordinate internal drills.
  • Monitor patient satisfaction and lead service recovery efforts when needed

Employment Details

  • This is a full-time, exempt position based on-site in Dedham, MA.
  • The Practice Administrator is expected to work Monday through Friday, 40 hours a week, with occasional weekend or holiday coverage based on operational needs.

  • Requirements :

  • Associate or bachelor’s degree preferred
  • 5+ years of experience in healthcare administration or clinic operations, ideally in fertility or women’s health.
  • Strong leadership and team management skills with a collaborative mindset.
  • Excellent communication and interpersonal skills.
  • Working knowledge of Microsoft Office, EMR systems, and cloud-based platforms.
  • Ability to manage budgets, payroll processes, and internal controls.
  • Understanding of regulatory standards including HIPAA, OSHA, and DPH.
