Job description

Queens Hospital Center is making good on its promise to the people of southeastern and central Queens to maximize both patient convenience and positive clinical outcomes. Duties & Responsibilities

Purpose of Position :

Under the direction of executive or senior leadership, with moderate latitude for initiative and exercise of judgment, is responsible for providing executive support by performing a broad variety of confidential projects and assignments. Ensures efficient and effective operation of the administrative area and acts in compliance with applicable New York City Health + Hospitals policies and procedures.

SUMMARY OF DUTIES AND RESPONSIBILITIES :

The Executive Secretary is an integral part of the External Affairs team, providing essential support to senior leadership, including the Director of Community Affairs, Public Affairs Officer, and Director of Volunteer Services. This role involves overseeing and providing support for confidential projects and assignments, managing administrative functions, coordinating special projects, and enhancing operational efficiency while supporting the hospital's outreach, communication strategies, and brand image. The manager must ensure efficient and effective operations of the Department of External Affairs in compliance with applicable New York City Health + Hospitals' policies and procedures.

General tasks and responsibilities will include :

1. Administrative and Operational Support :

  • Manage schedules, appointments, and coordinate meetings and events for the External Affairs team.
  • Serve as the primary liaison for coordinating interdepartmental activities and ensuring effective communication between departments and External Affairs.

2. Project and Event Coordination :

  • Plan and execute special projects, hospital-wide events, and celebrations, collaborating with various departments and community groups.
  • Provide support and coordination for major events such as galas and fundraisers, including monitoring fundraising software and programs to track activities.
  • Assist in audiovisual setups for events and meetings, ensuring technical requirements are met.
  • 3. Creative and Graphic Support :

  • Design and create promotional materials including brochures, flyers, posters, banners, and other items to support hospital initiatives and enhance the brand.
  • Assist with the design and production of the hospital newsletter, including content curation and securing contributions.
  • 4. Communication and System Management :

  • Support the staff person responsible for managing the hospital's Facebook page by coordinating posts and contributing images and content.
  • Coordinate and manage messaging systems across various communication platforms overseen by the department.
  • Ensure content is regularly updated on the Clair Shulman donor board.
  • Work with various departments to consistently update their intranet pages and support efforts to improve content on public-facing web pages.
  • 5. Brand Ambassador Duties :

  • Act as a brand ambassador, ensuring all materials and communications adhere to the hospital's brand guidelines.
  • Collaborate with team members to maintain consistency and quality in all external communications and outreach efforts.
  • Minimum Qualifications

    1. Associate's Degree from an accredited college or university with specialization in Secretarial Science, Office Administration or Technology, Business Administration or related areas of study and two (2) years of executive administrative assistant experience, or 2. High School Diploma or its educational equivalent approved by a State's Department of Education or a recognized accrediting organization and three (3) years of experience, as described in "1" above. 3. A satisfactory equivalent combination of education, training and experience. However, all candidates must have a minimum of a four-year high school diploma or its educational equivalent. A Bachelor's degree may be considered equivalent to four (4) years of relevant professional experience as described in "1" above.

  • Strong organizational and time management abilities
  • Excellent verbal and written communication skills
  • Familiarity with content management systems for website and intranet update
