Position Summary :
The Contract Administration Manager will oversee the end-to-end administration of project contracts, including billing, collections support, lien rights compliance, and team development. This role ensures that contracts are reviewed, documented, and enforced in alignment with company standards and legal requirements. It also plays a key role in supporting cash flow and minimizing risk by managing lien documentation and facilitating timely billing practices.
Key Responsibilities :
- Team Leadership & Workflow Oversight Lead and mentor the contract administration team, including onboarding, training, and performance management Oversee day-to-day contract workflows, ensuring timely contract review, tracking, and documentation Partner with project management, accounting, and legal to align on best practices and compliance protocols
- Billing & Collections Support Ensure timely and accurate submission of monthly pay applications (AIA format and custom forms) Monitor outstanding AR and support collections with documentation and escalation processes Assist in resolving billing disputes by reviewing contract terms and project documentation
- Compliance & Lien Rights Manage internal lien rights processes across multiple states, including tracking preliminary notices, deadlines, and lien waivers Oversee proper preparation, notarization, and submission of lien waivers (conditional / unconditional) Ensure insurance certificates, subcontractor compliance documents, and legal paperwork are current and stored
- Process Improvement & Reporting Maintain and improve contract workflows and SOPs to support scalability and risk reduction Track key metrics billing timeliness, waiver compliance, aging receivables) and report to leadership Lead adoption and optimization of tools such as Salesforce, Linksquares, GC Pay, Textura, etc.
