Job description

POSITION SUMMARY :

Responsible for answering all incoming telephone calls and greeting visitors, customers, applicants, clients, and suppliers. Provide administrative and clerical support for the Hyosung HICO Power Transformer Facility

  • Lead and champion strong customer service skills when communicating to employees, vendors and all guests, ensuring a positive Hyosung HICO experience.
  • Answer phones and direct inquiries to the proper person with use of intercompany radio, email and phone systems.
  • Manage visitor traffic including greeting and interact with company guests, customers, job applicants, clients and suppliers. Notify appropriate person of the visitor's arrival.
  • Partner with safety and security as a strong advocate of keeping our employees and visitors safe by monitoring access to all visitors.
  • Administer travel arrangements and related expenses, including training new users on how to use our travel policies when applicable
  • Support HYOSUNG HICO staff with reports, customer presentations, correspondence, and other business documents / forms in a neat, concise manner using correct grammatical structure and punctuation.
  • Manage and maintain our electronic communication boards with daily and monthly changes.
  • Coordinate and arrange division / department meetings, conference calls and ensuring appropriate meeting facilities / conference rooms are reserved. As well as managing all catering, as appropriate.
  • Prepare various meeting materials and assist with the development of presentations.
  • Create and modify various documents using Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Create and submit Purchase Requisition and expense reports, either manually or via the Purchase Requests Systems.
  • Keep current itineraries of department employees and visitors to avoid scheduling conflicts.
  • Prepare correspondence and materials for mailing via U.S. postal service, FedEx, UPS, etc. and distribute incoming mail.
  • Co-lead activities committee and plan and implement employee activities, fundraisers, employee recognition, company newsletter, etc.
  • Further the goals and positive, professional image of the Company by conducting business with other HYOSUNG HICO departments, employees, visitors, and callers in a timely and cooperative manner.
  • Manage highly confidential electronic and written communications, maintain the confidentiality of any information s / he encounters.
  • Maintain inventory of supplies and work with purchasing on attaining supplies.
  • Manage and maintain visitor's PPE (Personal Protective Equipment)
  • Partner with the HR Department to implement and maintain different programs and events.
  • Assist the Director of HR and Executive team with other assigned tasks.
  • Manage and maintain employee events such as delivery of messages and flowers for approved special occasions, family day, holiday party and more...
  • Know HYOSUNG HICO's Quality and Environmental Policies. Be able to fully discuss the importance of these policies and how they impact work.

PHYSICAL / MENTAL CHARACTERISTICS OF THE POSITION AND ENVIRONMENTAL FACTORS OF THE WORKPLACE :

Strong computer skills, emphasizing MS Office products.

  • Ability to use office equipment, such as : PC, photocopier, fax machine, etc.
  • Ability to communicate with others to complete work.
  • Ability to be adaptable and flexible in a constantly changing environment
  • Ability to use multi-line phone system to answer and route calls.
  • Ability to perform multiple tasks in a fast-paced environment.
