Trotter & Morton Facility Services delivers 24 / 7 preventative and predictive mechanical system maintenance and repair services to condominiums, commercial, and institutional buildings.
We are currently seeking a detail-oriented Accounting Specialist / Dispatcher to join our Kansas City team. This dynamic role combines accounting responsibilities with service dispatch coordination and is ideal for someone who thrives in a fast-paced environment and enjoys balancing administrative and customer-facing tasks.

Roles and Responsibilities
Take care of the data entry associated with billing, job costing, accounts receivable, and accounts payableAssist with various timesheet and payroll functionsAnswer customer calls and dispatch techniciansCommunicate with the Manager, Service Technicians and Customers dailyProvide support to business systems, accounting, and any other department as neededObtain customer payment informationFile all appropriate paperworkPerform other duties as requiredUtilize the dispatch software to effectively maintain work schedule for service representatives and assure that customer commitments are metDispatch service representatives according to the scheduleReceive customer calls and adjust schedule as requiredCoordinate and dispatch service technicians based on the Service Representative's skills, nature of the customer's requirements and geographic location of customer and appropriate field staffAdvise service manager of customer complaints to expedite resolution ensuring and maintaining long term relationships. Communicate resolution to customerDetermine and dispatch appropriate service representative to ensure quick and efficient resolution of problems while building and maintaining customer confidence and satisfaction. Keep the customer informed on action takenSufficiently knowledgeable about geographical layout to make logical decisions concerning reassignment for urgent calls, assignment of scheduled work, reactions to problems, purchasing and transfer of tools, materials and equipmentBased on the backlog of planned work, equipment availability, tolls and personnel available, provide effective work schedules for field staff to maximize uses of skills while cost effectively meeting customer needs and providing contingency time for emergency callsDocument and report any work progress in writing regarding field performance, material, subcontracts, scheduling, etcBuild and maintain rapport and positive working relationships with field and office personnel to resolve problems, employ opportunities and maximize profitsMake priority decisions to dispatch personnel and equipment in accordance with applicable contractual agreementsMaintain awareness of high credit risk customers and obtain approval from Supervisor prior to authorizing serviceAudit service reports weekly in accordance with established proceduresProvide support for any special projects as assigned by your service managerPerform other duties as assignedRequired Skills and Abilities
Ability to learn new software with proficiency of Microsoft Office applications, specifically Microsoft ExcelProfessional, approachable and customer-service orientedStrong work ethic and positive team attitudeAttention to detail and a high degree of accuracyGood mathematical and analytical skillsStrong oral and written communication skillsSolid understanding of all aspects of A / R processes and practicesRequired Education and Experience
