Purpose and Position Summary :
The Admissions Analyst applies their knowledge of rules, regulations, bylaws, policies and precedent to fact situations and performs the following duties : reviews and analyzes applications submitted for admission or licensure to practice law in Washington; communicates with and respond to inquiries from the public, applicants and members about the qualifications for a license to practice law in Washington; administration of the bar exams and LPO exams; ensures applicants comply with all regulatory requirements for admission or licensure to practice law; assists the manager with administrative support to the Board of Bar Examiners, including preparing exam answers for grading and releasing exam results.
Primary Job Duties and Responsibilities :
Reviews, analyzes, and processes applications for admission or licensure to practice law :
- Reviews and analyzes all application types to determine whether they meet basic eligibility requirements for admission or licensure as a lawyer. LPO, house counsel, foreign law consultant, indigent representative, status changes, law clerk or licensed legal intern and any other application type for lawyer licensure, authorization to practice law, or enrollment in a regulatory program
- Reviews and uploads documentation and inputs data for applications that meet basic requirements and sends acknowledgment letters
- Analyzes all applications for compliance with regulatory requirements and existence of legal, character, or fitness issues requiring investigation or other further actions, based on knowledge of Washington’s admission rules, policies, and precedent
- Conducts some preliminary investigations into applicant qualifications, background, character and fitness, etc., as directed, including, employment and good moral character verification
- Accurately inputs all data about all applications and makes appropriate additional analysis and data entry as supplemental information is received
- Requests additional information as necessary and tracks missing or requested information, including law school certificates and NCBE background investigation reports, using queries and reports in the admissions system or individualized written and telephonic communications where appropriate
- Assists applicants in meeting any pre-admission or additional licensure requirements after applications have been approved for admission or licensure
- Performs investigations in the absence of the character and fitness investigator or when there is a high volume of character and fitness investigations
- Ensures all requirements for admission or licensure are met and prepares applications and recommendations for admission or licensure for prompt submission to the Court
- Prepares and mails new admittee packets to new members or otherwise notifies new licensee of licensure with additional information or items as necessary for the license type
Communicates with applicants, members, law students, and the public :
Replies to inquiries from and communicates with applicants, members, and the public about all aspects of the admissions / licensure process from application to admission / licensure in a clear, professional and timely mannerCommunicates to applicants the determination that basic eligibility requirements either have or have not been met and informs them of other options that may exist for admission or licensure to practice lawInforms applicants of consequences for failing to provide information and takes steps to ensure information is received in a timely fashionAssists with presentations on aspects of the admissions process as neededAssists with reasonable accommodations requests :
Processes applications for reasonable accommodations, ensuring that requests are properly and timely reviewed by appropriate professionals for determination of accommodationsWorks with the admissions manager, regulatory counsel and the NCBE to provide reasonable accommodations and obtain nonstandard examsCommunicates regularly with all applicants requesting accommodations for an exam ensuring that the applicant understands the requirements for accommodations, clarifies requests, documents submissions and conveys the recommended accommodationsCommunicates regularly with the WSBA’s consultant(s) and assists with developing and confirming exam accommodationsAssists with administration of the bar and LPO exams :
Organize, place orders, and prepare supplies for registration and exam materialsTrains exam proctorsSeeks RFPs from vendors in a professional manner and processes contracts in a timely manner for Admissions Manager reviewAssists with exam administration including set-up, registration, door security, monitoring, scanning exam answers, and assisting proctorsAssists with exam grading and results :
Assists admissions manager with proofing and preparing answers to exam questions for grading by the Board of Bar ExaminersAssists admissions manager with preparations for and attends Board of Bar Examiner meetings and grading sessionsAssists with the coordination and completion of the exam results process with careful attention to detail including, transmitting scores to and verifying exam scores from the NCBE, for accurate and timely release of exam resultsAssists with production of exam statistics for publishing, and delivery of exam results to law schoolsAssists with development and maintenance of admissions software and programs :
Identifies or verifies user interface bugs and tracks resolution with vendor or with WSBA ITD as neededQueries the system for data and reportsAudits the system for and ensures data integrityMonitors data exchanges between the membership database and the team’s system to ensure accurate membership dataPrepares and executes plans for user acceptance testing (UAT) of all new system programmingProvides department administrative assistance and performs other duties as assigned :
Assists with creating, updating, and maintaining department forms, web pages, FAQ, and procedure manualsAssists with maintenance, review and destruction of files and records according to the WSBA retention scheduleSorts and delivers RSD mail, faxes and deliveriesEducation Required :
Associate's degree or other related 2-year degree programEducation Preferred :
Bachelor’s DegreeEducation or certification in the Legal field (paralegal degree or certificate, J.D.)Experience Required :

This position, while primarily remote within Washington, must be flexible to work in office (Seattle, WA) and travel within WA state as deemed necessary, or as required. This position primarily performs work during normal business hours, however, must have the ability to work flexible hours, including occasional evenings, weekends, etc. This position may also have the option to work in-office. For remote work, must have an adequate home / work environment and internet access, for performing work of a highly sensitive and confidential nature.
Employment with the Washington State Bar Association mandates that WSBA Staff must reside within the State of Washington at the time of hire, and during active employment status.
The essential functions of the job that must be performed, with or without a reasonable accommodation : This position must be able to regularly work five days per week in an office type environment (remote or in office), possess the ability to primarily sit / stand and use a computer, and lift / push / pull items weighing up to 25 pounds.
