Responsibilities
In this role you will provide day-to-day executive assistant support to General Dynamics Corporate Headquarters Investor Relations (IR) and Strategic Communications departments. Your responsibilities will include the following :
- Perform a wide range of administrative support duties as required, including but not limited to filing, directing phone and in-person requests for information, preparing internal and external correspondence, scheduling meetings and conference calls, managing multiple calendars, presenting a positive impression of the organization to all individuals and using discretion, good judgment and tact in a time sensitive environment.
- Compile sensitive correspondence, memos, letters and legal documents; edit materials for spelling, punctuation, grammar and format.
- Reconcile department budget on a monthly basis.
- Prepare weekly and monthly funding requests on as needed basis.
- Schedule travel and prepare expense reports using Concur.
- Accomplish specific departmental responsibilities in accordance with departmental work instructions.
- Create and maintain accurate files and records as required.
- Perform a wide range of special projects as assigned.
- Process departmental mail and review invoices for accuracy.
- Manage purchasing of office supplies for department.
- Maintain IR and Communications external e-mail, coordinating responses with leadership.
- Must be able to support multiple people within the functional area simultaneously.
- Provides back-up phone support to Executive Assistant to the General Counsel as needed.
- Other duties as assigned.
Qualifications
To qualify, you must possess the following :
Education & Training Requirements :
A high school diploma or GED is required. AS / BS / BA and / or further college work is preferred. Additional education demonstrating continued learning and growth in the job is strongly preferred.Experience Requirements :
A minimum of 5 years of relevant experience.Other Requirements :
An excellent record of punctuality and attendance will be expected.Must be team oriented individual and able to function as a proactive partner in a corporate environment.Must possess demonstrated excellent oral and written communication skills and the ability to deal effectively and courteously with people at all seniority levels.Must be fully proficient in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook.Must be able to demonstrate proficiency in grammar, spelling, typing, composition and math.Must possess strong organizational skills and have the ability to prioritize responsibilities.Must be able to work with little direction, set priorities, handle multiple tasks, take initiative and exercise professional judgment and discretion in executing tasks.Must be willing to work in the CHQ office Monday through Friday during regular business hours and in emergencies as needed.
