Job description

The Residential Manager is responsible for completing and managing administrative tasks to ensure smooth operations, continuity of quality care for residents, and provide direct supervision to staff at their assigned location(s). The Residential Manager is expected to foster a mission-focused culture in the house through exceptional leadership, task effectiveness, integrity, dedication, and adherence to agency policies. The Residential Manager will demonstrate organizational and time management skills in order to ensure policy and procedure implementation at assigned residences. The Residential Manager ensures health, safety, and welfare of residents through effective onboarding and oversight of staff. The Residential Manager supports and collaborates frequently with the Compliance and Program departments. The Residential Manager collaborates with program team members to build retention, risk management, and crisis prevention strategies and stays abreast of best practices. The Residential Manager is a salaried, benefited position accountable to the Chief Program Officer. The schedule for this position will be primarily weekdays 9 : 00 a.m.-5 : 00 p.m. but flexibility is required.

COMPENSATION RANGE : $48,000-$52,000 / annually

QUALIFICATIONS :

At least 21 years of age

Degree in a related field and / or 3 years’ experience in supervisory roles related to adults with intellectual disabilities, community-based settings, social services, compliance, or related experience

Management experience required

Critical-thinking skills, and effective task management required

Proficient knowledge of computers and Microsoft Office required

Must be able to work independently, take initiative, and be self-motivated

Good communication (written and verbal) skills

Knowledge of the SCL waiver preferred

Experience with crisis prevention and intervention methodologies and response preferred

Experience utilizing electronic health portals, such as Oasis, preferred

Must be able to manage task completion for self-accountability and implement accountability to others.

Must be able to multi-task

Valid driver’s license and current automobile insurance required

Demonstration of understanding and commitment to the philosophical tenets of community living

Operate the house and provide services in accordance with established Day Spring policies, KY licensure, HUD guidelines, and best practices

RESPONSIBILITIES :

Supervise all assigned direct support staff which includes planned coaching, applied accountability, and the assessment of task effectiveness

Set clear expectations and monitor outcomes and results

Lead with integrity and coaches team members to contribute to positive house culture

Oversee the health, safety, and welfare of residents and anticipate concerns / issues

Provide DSP performance feedback and assemble annual and ongoing DSP evaluations

Appropriate and effective use of discipline to promote positive change and shared tasks among all shifts

Plan, prepare and oversee staffing schedules to ensure appropriate staff coverage

Participate in developing and oversee implementation of resident support plans

Oversee effectiveness of support tasks completed by Lead DSP’s

Monitor attendance and ensure staff receive feedback about absences

Approve time off requests and ensure accurate payroll bi-monthly

Monitor resident work and day program experiences to promote life-enhancing programmatic opportunities and ensure residents have daily opportunities for activities at all locations

Oversee the implementation and completion of fire drills and other annually scheduled compliance tasks

Assist with monitoring participant residential records to ensure Medicaid waiver compliance

Jointly responsible for monthly med check in

Partners with compliance team members in reviewing medications, removing old medications, monitoring prescription expiration dates, ensuring delivery to houses, and communicating with staff regarding medication changes

Monitor eMAR notifications and alerts to ensure accuracy in medication administration

Oversee medication administration of staff to keep documentation and medication errors to a minimum and identify training opportunities

Ensure doctors appointments, follow ups, and referral appointments are added to the Oasis calendar and monitor adherence

Ensure medical appointments are completed and oversee the coordination of transportation

Ensure Lead DSP staff submits HRST forms and medical paperwork after each doctor’s visit

Ensure incident reports are completed and forwarded to the Incident Report Coordinator within timeframe guidelines

Ensure monthly paperwork (including grocery budget, summaries, site audits, etc.) is submitted by the 5

of the month

Monthly Walkthrough of each home for cleanliness and condition (includes resident bedrooms)

Attend all required meetings

Perform ongoing daily and weekly monitoring of internal tracking spreadsheets (HRST Spreadsheet, Med Error Log, etc.)

Assist in recruiting, interviewing, and onboarding direct support staff for residences on caseload.

Hold house meetings with staff and / or residents as needed / directed

Collaborate with Lead DSP on household needs and weekly activities

Collaborate with Program Assistant and Development teams to promote success of Arts & Wellness and other community-based activities through scheduling, planning, participation, etc.

Commit to receiving support through coaching from the Chief Program Officer

Other duties as assigned

Compensated on-call responsibilities

Acts as primary point of contact for frontline staff as assigned locations

Assist with scheduling / attending / delegating POC, SIS, and other team meetings throughout the year and as needed

Display professionalism and courtesy at all times, resisting triangulation and promoting healthy conflict and relationships

PHYSICAL DEMANDS OF THE RESIDENTIAL MANAGER :

1. Be healthy and physically fit including the physical requirements of lifting individuals, standing for long periods, crouching, twisting / turning, weight bearing, swimming, walking and other physical activities as required.

2. Be able to lift to 50 pounds.

3. Exhibit abilities to see, hear and speak to individuals under their care.

4. Must possess a valid driver’s license to operate and drive a vehicle.

WORK ENVIROMENT FOR THE RESIDENTIAL MANAGER :

Work is normally performed in an office or home.

While performing the responsibilities of the Residential Manager’s Job, these working environment characteristics are representative of the environment the Residential Manager will encounter :

The employee is normally exposed to moving mechanical parts and vehicles; the noise level in the work environment is usually quiet to moderate. Typical work duties can vary depending upon different scenarios, however in most cases, the Residential Manager will be responsible for the daily care of the residents. This can include administering medication, updating records, providing emotional support, and resident education.

It may require longer work days and varied schedule. They may have to work nights, weekends or even over the holidays.

Additionally, the Residential Manager will need to protect themselves from possible work-related hazards, during the course of resident care, since they may be exposed to infectious diseases, body fluids, radiation, chemicals, etc.
