Role Overview
The Executive Assistant provides proactive, high-quality administrative support to the executive team. This role manages complex calendars, meetings, travel, and communications; prepares polished presentation materials; and ensures smooth day-to-day operations. The ideal candidate is detail-obsessed, discreet, tech-savvy (PowerPoint, Excel, Concur), and comfortable coordinating across multiple time zones and stakeholders.
Key Responsibilities
Executive Support & Coordination
- Manage complex, dynamic calendars; schedule meetings across time zones; anticipate conflicts and priorities.
- Orchestrate meetings (agenda, materials, room / VC setup, attendees, minutes, action tracking).
- Draft, edit, and proof executive correspondence; maintain professional, consistent tone and formatting.
- Handle sensitive information with strict confidentiality and sound judgment.
Travel, Expenses & Logistics (Concur)
Plan end-to-end domestic / international travel in Concur (flights, hotels, ground, visas), optimizing cost and convenience within policy.Prepare detailed travel briefs / itineraries; coordinate on-site logistics and last-minute changes.Process expense reports in Concur accurately and on time; reconcile corporate card statements; ensure policy compliance.Presentations, Reporting & Documentation
Build and refine executive-ready PowerPoint presentations (storyline, visuals, charts, speaker notes).Create and maintain Excel trackers, lists, and light analytics (filters, pivot tables, lookups, basic charts).Compile board / leadership packets and meeting books; maintain shared files and version control.Stakeholder & Office Operations
Serve as a responsive point of contact for internal leaders, clients, and partners; triage and route inquiries.Coordinate with HR / IT / Finance for onboarding, access, approvals, signatures, and procurement.Support small events, town halls, offsites (vendors, catering, AV, agendas, run-of-show).Identify and implement process improvements that save time and reduce friction for executives.Qualifications
5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting multiple senior leaders.Expert calendar management and meeting coordination across global time zones;Proficiency with Microsoft PowerPoint (master slides, layouts, charts), Excel (pivot tables, lookups, basic formulas), Outlook / Teams, and Concur (booking & expenses).Outstanding written and verbal communication; impeccable attention to detail and. experience with board-level materials.Proven discretion handling confidential information; high degree of professionalism and service mindset.Strong prioritization and follow-through; thrives in a fast-moving, occasionally ambiguous environment.Education
Bachelor's degree preferred.
