We are seeking a detail-oriented, great energy, and experienced Construction Office Manager to oversee our accounting operations and ensure the smooth functioning of our office. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Duties

  • Manage daily office operations, including clerical tasks and file management.
  • Evaluate project plans, drawings, and specs to determine scope and feasibility
  • Organize and manage calendars, scheduling appointments and meetings.
  • Prepare and manage detailed cost estimates and pre-construction budgets.  Coordinate with subcontractors, vendors, and suppliers to gather competitive bids.
  • Ability to work independently and within a team environment.
  • Proficient in Word, Excel, Power Point and Adobe Acrobat.
  • Process subcontracts and purchase order contracts.
  • Process subcontract change orders.
  • Write up bids in the CRM system.
  • Source product and order product.
  • Sub-Contractors agreements / 1099’s
  • Prepare detailed and accurate estimates for materials, labor, and equipment
  • based on the client’s scope of work.
  • Enter invoices, progress billings and track payments and collections.
  • Enter and update information in the CRM systems and portals.
  • Assist owners, subcontractors and suppliers to solve daily business problems in a timely manner.
  • Create manuals for the office.

Qualifications

  • Proven experience in office management or a related field.
  • Strong clerical skills with attention to detail in file management.
  • Thorough knowledge of General Construction and estimating.
  • General Construction experience is a plus.
  • Excellent organizational skills with the ability to manage multiple tasks effectively.
  • Knowledge of local building codes and permit requirements.
  • Strong understanding of construction methods, cost planning, and scheduling.
  • Strong calendar and schedule management abilities.
  • Excellent communication skills, both verbal and written.
  • 3-5 years minimum experience in office manager.
  • Proficient in Microsoft Office Programs (Excel Word Outlook Power Point)

    Job Type : Full-time

    Pay : $20.00 - $25.00 per hour

    Expected hours : No more than 40 per week
