Facilities Coordinator

We are looking for a polished facilities coordinator with a proven track record of providing exceptional experience for our employees and guests. This individual will have 0 - 2 years of experience managing office operations in a fast-paced environment with the highest standards of excellence. Provides oversight and management of vendors who perform maintenance or direct services to the office suite, infrastructure, or equipment such as AV or copiers. Backs up the DMV Facilities Manager at their assigned location as required. This position involves administrative tasks but also requires an individual who is comfortable giving direction to vendors and stakeholders, taking ownership of projects / tasks.

Key responsibilities include :

  • Site receptionist responsible for greeting all visitors and employees
  • Responsible for the issuance of badges, parking passes, and parking validation tickets while adhering to KBR security guidelines
  • Adhere to and function within all established safety policies, procedures, and applicable regulations including assuring all aspects of a safe work environment for employees and customers
  • Participate in the wellness / life / safety functions by scheduling required events : such as fire drills, floors wardens, CPR / AED training, Covid-safety.
  • Develop and maintain relationships with internal customers; resolve issues or seek guidance in handling situations as they arise
  • Liaise with landlord and property management. Communicates clearly and effectively with landlords, service providers, suppliers, local government agencies, and internal partners.
  • Address inquiries and concerns, ensuring timely responses. Respond to all facility inquiries and complaints, assess problems, and take the necessary corrective action.
  • Communicate frequently with contractors, landlords, and vendors to resolve issues and provide project status updates.
  • Perform day-to-day oversight and completion of tickets / work orders, providing status updates to the DMV facilities manager.
  • Coordinate on-site and off-site events
  • Support on-site events with meeting room setup / take down as required.
  • Order breakfast, lunch, dinner, and snacks as required for corporate events
  • Develop a preventative maintenance plan for the suite in coordination with the DMV facilities manager
  • Provide purchase requisition and CPAR creation support as needed by Principal Facilities Manager
  • Review, code and submit invoices for approval in a timely manner
  • Oversee and data entry for facility related projects through various internal programs and project management programs.
  • Assist with budgetary requests, analysis, and reporting.
  • Implement and enforce work rules, policies, and procedures
  • Provide back-up support for DMV Facilities Manager as required
  • Support DMV Facilities Manager on project moves by relocating furniture, equipment, and boxes as needed.
  • Manage multiple concurrent projects.
  • Purchase materials and maintain inventory of coffee and snacks as well as office supplies
  • Collect and maintain data / information; may assist with report preparation
  • Support ad hoc projects such as overseeing office moves, decommissioning, support new offices, vendor management, and managing workplace related partnerships.
  • Support and uphold Facility Policies (e.g., visitor policy, compliance, safety guidelines, and local municipality requirements).
  • Support and promote our sustainability and green initiatives. Provide updates into the sustainability platform as required

  • Required qualifications :

  • Undergraduate degree.
  • 0 - 2 years of related experience. Additional experience may be accepted in lieu of degree.
  • Preferred qualifications :

  • 2+ years of related experience.
