Real Estate Administrative Assistant
Bryan Realty Group is seeking a detail-oriented, highly organized, and proactive Client Care Coordinator to join our growing team. This vital role supports our agents and clients from listing to closing, ensuring that every transaction is seamless, legally compliant, and consistent with our high standards of service. This position is based primarily at our East Memphis / Germantown office, with regular time spent weekly at our Lakeland location.
As a key member of our administrative team, you'll be the go-to person for handling contracts, coordinating communication between all parties, managing listing materials, and supporting the office with various operational tasks. Compensation for this role will be based on experience and qualifications.
Responsibilities
Coordinate the full listing-to-closing process, including file setup, document collection, appointment setting, and deadline trackingServe as the primary point of contact for clients throughout the transaction, offering timely updates and supportCommunicate and coordinate with co-op agents, lenders, attorneys, contractors, and other third partiesMake frequent signage, keybox, and photography arrangements for listingsManage MLS, showing service, and CRM entry and updates; maintain transaction trackers, checklists, and internal systemsRoute buyer and seller leads to agents and assist with basic CRM follow-upCreate property marketing materialsCreate and send branded birthday, home anniversary, and thank-you cardsSupport company events and promotions, including client, vendor, and team gatheringsAnswer phones, handle mail, maintain inventory of office supplies, and marketing materialsAssist with meeting prep, technology setup, errands, and other general office tasks as neededQualifications
Able to work full-time, in-person at both our East Memphis / Germantown and Lakeland officesValid driver's license and reliable transportation for occasional errandsPositive, solutions-oriented attitude; team- and client-focused mindsetStrong organizational and time management skills with the ability to handle multiple tasks and deadlinesFlexibility to adjust on the fly and adapt to changing priorities in a fast-paced environmentExcellent written and verbal communication skillsProven ability to push through distractions and obstacles, take initiative, and drive tasks to efficient and effective completionMust be comfortable learning and using new software and systemsProficiency in Microsoft Office Suite and Google WorkspaceReal estate experience is highly preferredExperience with Canva and CRM database platforms is a plus
