Position Overview

The Executive Assistant is a highly trusted, organized and proactive individual supporting the CEO and Chief Marketing Officer of DoubleLine while also performing a wide range of administrative duties for the Investor Services team.

Job Functions

  • Provide high-level administrative support to the CEO, Chief Marketing Officer (CMO), and Investor Services team, maintaining strict confidentiality and professionalism.
  • Proactively manage complex executive calendars, including scheduling meetings, conference calls, media engagements, and coordinating travel logistics.
  • Serve as liaison for media and speaking engagements, ensuring timely follow-up on outstanding requests for the CEO.
  • Plan and coordinate firm-wide events-including retreats, holiday parties, and ad hoc gatherings-by managing logistics, venues, contracts, and presenting options to the CMO.
  • Collaborate with IT, Communications, and vendors to ensure AV setup, promotional materials, shipping, and on-site execution.
  • Attend weekly planning sessions with the CMO to align on scheduling, events, conferences, and outstanding priorities.
  • Coordinate and arrange catering for internal and external meetings, ensuring seamless execution of hospitality needs.
  • Organize and facilitate Marketing Sub-Advisory Committee meetings, including scheduling, presentation collection, and logistical support.
  • Prepare and submit accurate and timely expense reports for the CEO, CMO, and Investor Services team.
  • Support the GRM Executive Assistant in executing high-impact client events and conferences which may include travel and on-location hosting. Responsibilities include, but are not limited to, maintaining the conference tracker, managing shipments, and collaborating with Communications and Facilities teams to ensure seamless execution.

Qualifications

  • Bachelor's degree preferred.
  • Minimum 5 years of Executive Assistant experience, ideally within the finance or investment industry.
  • Proficient in Microsoft Office Suite.
  • Strong verbal and written communication skills.
  • Exceptional attention to detail with a commitment to accuracy and timeliness.
  • Professional demeanor with a collaborative mindset and strong interpersonal skills.
  • Self-starter with the ability to work independently and manage multiple priorities effectively.
  • Base Salary Range

    The estimated base salary range for this position is $90,000 - $110,000. In addition to base salary, this position is eligible for an annual discretionary bonus, plus a comprehensive benefits package.
