Supervisor Of Materials Management

Reporting to the Manager of Supply & Distribution, the Supervisor of Materials Management is responsible for SFHS Yale operations within Purchasing / Materials Management Department / Central Supply / Postal Services / Courier Services including, but not limited to : Receiving and distribution of all incoming freight and equipment, distribution of supplies to hospital departments inclusive of all departments in a timely and professional manner, and directs the entry of receiving and inventory transactions into the system to ensure accurate accounting, inventory, and departmental expense reporting. Manages the central supply replenishment and maintenance of all medical supplies to all supply carts of all departments. Supervises all direct reports related staff and indirect responsibilities.

Minimum Education : High School Graduate or GED. Bachelor's Degree in Business Administration preferred.

Licensure, Registration and / or Certification : None.

Work Experience : 3 - 5 years related experience. Previous related supervisor or management experience in materials management strongly preferred.

Knowledge, Skills and Abilities : Ability to manage a service department with strong customer service skills and interact with all departments of the hospital developing co-hesive relationships and positive outcomes. Working knowledge of Microsoft Word, Excel and Access as might be used in the preparation of correspondence and reports. Excellent interpersonal, written and oral communication skills. Ability to integrate the analysis of data to discover facts or develop knowledge, concepts or interpretations. Ability to organize and prioritize work in an effective and efficient manner. Ability to be detailed oriented as required in the examination of clinical and numerical data.

Essential Functions and Responsibilities : Prepares reports (financial, personnel, budget), develops long and short-terms goals and objectives while working with a defined budget parameter. Manages cost analysis inventory control to maintain accurate inventory / auto reorders. Yearly inventory on all storerooms items including surgery. Creates and maintains all new Material Master numbers for SFH South facility and creates requisition for surgery, material management, biomedical supplies / repairs and capital equipment. Collaborates with department Directors, Managers and Supervisors in maintaining a computerized MMIS system to optimize supply availability, inventory turnover rates and customer service and coordinate the evaluation of inventory levels within the department and supply carts throughout the facility. Manages receiving and distribution of incoming freight and equipment, and distribution of inventory supplies to hospital department's in a timely and professional manner. Manages central supply replenishment and maintenance of medical supplies to all supply carts, including surgery. Manages the rotation of stock daily and monitors for outdates daily. Has oversight of human resource functions inclusive of planning, scheduling, assigning employees in Receiving, Supply & Distribution, Courier Services, Postal Services, Central Supply Techs, and Material Management staff to their daily responsibilities, ensures safety and other training and compliance with safety procedures, and compliance with all policies and procedures. Interviews, hires, develops, evaluates, reviews performance and recommends appropriate merit increases or disciplinary action of staff members. Establishes and implements departmental policies and procedures to serve as activity guidelines and to ensure compliance with appropriate interstate commerce regulations and restrictions. Works with Buyer daily on cost control, inventory control, new items, sub items, order errors, requisition errors, manufacturing backorders, return items, pricing, RGA numbers, quotes from vendors, and accounting issues. Supervises courier services for SFH South including, but not limited to, pick-ups and deliveries, stat request, storing and retrieval of records and vehicle maintenance. Schedules, conducts, and / or participates in departmental and various health system meetings and committees including but not limited to Code Blue, Heart Walk, United Way, Clinical Support, etc.to provide support, maintain open lines of communication and solicit ideas for reducing costs and improving efficiencies. Decision Making : The carrying out of non-routine procedures under constantly changing conditions, in conformance with general instructions from supervisor. Working Relationships : Direct Supervision of others - No. of people supervised : (5-10). Prepares and gives performance evaluations. Works directly with patients and / or customers. Works with internal customers via telephone or face to face interaction. Works with external customers via telephone or face to face interaction. Works with other healthcare professionals and staff.
