The Tallahassee Police Department is seeking a dedicated and independent Records Technician to join our Records Division. This role is essential in supporting law enforcement operations by ensuring the accuracy, integrity, and timely processing of official police documentation.

As a Records Technician, you’ll perform complex clerical tasks, review and verify law enforcement data, manage sensitive records, and interact with the public—all while helping maintain the high standards of service and accountability that define our department.

What You’ll Do

As a Records Technician with the Tallahassee Police Department, you will :

  • Perform Specialized Clerical Work : Complete responsible, independent, and highly specialized clerical tasks involving the review, analysis, coding, and automation of designated law enforcement documents.
  • Maintain Accurate Records : Accurately file and organize offense reports, arrest records, property receipts, violation notices, and other essential police documents.
  • Verify and Correct Data : Review FDLE printouts for all TPD entries in the statewide database; compare with original reports and submit supplemental reports for any needed corrections.
  • Support Report Processing : Process supplemental reports by verifying case numbers and attaching them to existing reports; identify missing or problematic reports and recommend solutions.
  • Conduct Research and Resolve Issues : Investigate reporting discrepancies, prepare corrections, and coordinate with officers, sergeants, or investigators as needed.
  • Provide Public Service : Interact professionally with the public and departmental staff, offering assistance and information by phone and in person.
  • Utilize Office and Computer Skills : Apply general office procedures and computer applications to support daily operations and data management.
  • Assist with Special Reporting : Collect and prepare data for departmental reports as assigned.

Additional Responsibilities

  • Maintain daily documentation and filing of sensitive and official records.
  • Communicate effectively with Public Safety Communications Center and other departments regarding updates or corrections to statewide databases.
  • Ensure compliance with data accuracy and departmental procedures.
  • Collaborate with Records Division team members and leadership to support smooth operational workflows.

    Minimum Training & Experience

  • High school diploma or an equivalent recognized certificate.
  • Three years of office clerical and / or typing experience in an office environment.
  • Secretarial or clerical coursework beyond high school may substitute for experience at a rate of : 30 semester hours or 720 classroom hours = one year of required experience.
  • College coursework may substitute at a rate of 30 semester hours per year of required experience.
  • Preferred Qualifications :

  • Experience in report writing, public contact, and customer service.
  • Familiarity with records management systems and working with sensitive information.
  • Strong computer skills and knowledge of general office practices.
  • Ability to work independently, prioritize tasks, and ensure accuracy in a fast-paced environment.
  • Knowledge of FDLE / FCIC database systems is a plus.

    Salary Range

    15.5059 to $42.0765 / hourly. Hiring rate generally will not exceed $24.1864 / hour
