Description : Responsible for performing a wide range of administrative duties including new patient referral processing, patient registration to include entering accurate insurance information, patient appointment scheduling, closing the referral loop with primary care providers, communication with staff and providers, building relationships with referral sources.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Ensures current and standardized referral policies and workflows are followed.
- Responsible for the tracking, coordination and communication of referrals and online appointment requests
- Prioritizes referrals by their urgency and addresses them in a timely manner.
- Ensures complete and accurate patient registration, including demographic and current insurance information is entered into patient account.
- Reviews details and expectations about the referral with both providers and potential patients.
- Closes the referral loop by ensuring appointment information including medical records are forwarded to the referring providers in a timely manner.
- Verifies insurance eligibility using HER to ensure coverage is active AND Ensures referrals from the insurance company are obtained from the referring provider for HMO products that require prior approvals.
- Ensures appointments are scheduled appropriately according to scheduling template.
- Reviews and identifies scheduling errors and / or gaps in schedules and corrects
- Maximizes schedules for maximum productivity daily and weekly
- Maintains wait list and contacts patients for work-ins when cancellations create scheduling gaps.
- Reminds patients of scheduled appointments and sends new patient paperwork prior to appointment.
- Serves as back up for phones during lunch hour and peak call times.
- Keeps updated spreadsheets and completes checklists as required.
- Point of contact for patients and specialists for any questions or rising concerns regarding referrals, scheduling, appointments, etc.
- Assists in problem solving potential issues related to patient appointments. If unable to help, assist in finding the right point of contact to further help.
