Position Summary :
The Wine Program Administrative Assistant (Wine Admin) supports the operations of the wine program at Amelia Gene's outside of service hours. This role is designed to enhance the efficiency, profitability, and preparation of the wine program by focusing on administrative tasks, cost tracking, inventory maintenance, and staff education support. The Wine Admin responsibilities are fulfilled by our Wine Steward / Sommelier during non-service hours, focusing on administrative tasks that support the success of the wine program. During guest-facing hours, the same individual resumes their primary role leading wine service, sales, and hospitality on the floor while under management by the General Manager.
Primary Responsibilities :
- Wine List & POS Management
- Maintain and update printed and digital wine menus to reflect current inventory, vintages, and pricing
- Ensure POS system (OnePOS) and internal documents are aligned with wine program offerings
- Coordinate with GM and leadership to publish menu updates in a timely manner
Inventory & Cost Controls :
Track wine purchases and update product costing sheets to support accurate COGS reportingAssist with weekly wine counts, reconcile variances, and prepare data for period-end inventory reviewMaintain documentation for vendor samples, donation requests, and new product evaluationsStaff Education & Training MaterialsCreate and maintain educational materials for the FOH team, including wine one-sheets, tasting notes, and pairing guidesSupport the implementation of wine tastings and training sessions as directed by the GM or Wine StewardTrack and log wine knowledge exam results and training progressProgram Development & SupportAssist in evaluating new wines and propose additions or modifications to the list based on profitability, seasonality, and guest appealProvide administrative support to ensure the wine steward is fully prepared for each serviceCollaborate with the Executive Chef and GM to align pairings and storytelling for wine featuresQualifications :
Foundational knowledge of wine, with preference for WSET Level 2 or equivalent experienceProficiency in spreadsheet management (Google Sheets or Excel) and general comfort with POS systemsHighly organized with strong attention to detail and a proactive work styleAbility to lift and move up to 40 pounds and work in cellar conditions (approx. 55°F)Clear written and verbal communication skillsAlignment with Amelia Gene's core values and hospitality standardsWorking Conditions :
This is an administrative, non-tipped position intended for off-floor hours. Work will primarily be conducted during daytime hours when the restaurant is closed to the public. Schedule is flexible but will follow operational needs, particularly around inventory and menu changes. The role is designed to complement the service-based responsibilities of the Wine Steward, with a different hourly pay structure reflecting the nature of the administrative work.
