Program Coordinator I - General Surgery
The Department of Surgery is looking for an experienced Program Coordinator I to support the executive and clinical leadership team. This is a great opportunity for someone looking to take the next step in their career through these highly visible projects and responsibilities in addition to direct mentorship and development from the Executive Administrative Director of the department.
Key responsibilities include :
- Coordinating the annual department report with the Chief.
- Coordinating Harvard Surgery Research Day.
- Coordinating the Department of Surgery 100-year celebration.
- Coordinating meetings between faculty and the Chief.
- CV maintenance.
- Managing light volume of patient calls, clinical scheduling, clinical record keeping, etc. for all of Chief's clinic appointments.
- Department event planning.
- Monitoring and maintaining department recordkeeping systems, including highly sensitive and / or critical administrative and financial data. Overseeing input of information into databases and spreadsheets, monitoring data validity, compiling, printing and distributing reports as needed.
- Monitoring and reconciling budget reports and department expenses, researching and resolving errors or discrepancies. Collecting, organizing and preparing information, documents and other materials for preparation of annual budget, grant applications.
- Coordinating administration of departmental fellowship and / or residency programs, training grants and related programs. Collecting, preparing, routing and tracking required appointment, credentialing and licensure documents.
- Monitoring and maintaining department supply inventory and computer equipment. Serving as liaison to support service departments to request and coordinate services.
- Other deliverables and responsibilities as assigned.
Minimum qualifications :
Associate's degree or equivalent required. Bachelor's degree preferred.Minimum of one year of administrative work experience required. Work requires the analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.Schedule : Hybrid (4 days onsite / 1 from home) Office / Site Location : Boston Regular, Temporary, Per Diem : Regular Remote Eligibility : Part Remote / Hybrid Pay Range : $46488.00-$74380.80 Annual
