Position Overview :
The Executive Administrative Assistant provides high-level administrative and organizational support to the executive team. This role manages schedules, communication, document preparation, and basic operational support to ensure leadership can focus on strategic priorities. The ideal candidate is detail-oriented, professional, and experienced in supporting senior-level management.
Primary Responsibilities :
Manage executive calendars, meetings, appointments, and travel.
Organize and prioritize incoming requests and follow up on action items.
Prepare meeting agendas, notes, summaries, and reports.
Draft, proofread, and send communications on behalf of executives.
Maintain digital files, shared drives, and documentation systems.
Support contract management, invoicing, and payment tracking.
Assist with onboarding and coordinating contractors and vendors.
Maintain administrative processes, checklists, and SOPs.
Create and update project folders, timelines, and task boards.
Monitor project progress and ensure deadlines are met.
Coordinate logistics for events, meetings, and speaking engagements.
Prepare materials, run-of-show documents, and follow-up communication.
Serve as a point of contact between executives, clients, and partners.
Manage inbox organization and email follow-up.
Required Qualifications :
3+ years of administrative or executive support experience.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Proficiency in Google Workspace and project management tools.
Ability to work independently and handle confidential information.
Strong attention to detail and ability to manage multiple priorities.
Preferred Qualifications :
Experience coordinating events or travel.
Familiarity with Canva or similar presentation tools.
Experience supporting executives in fast-paced environments.
